POSITION OVERVIEW

The Receptionist is the face of Bella Visage, the first person every client sees and the last impression they carry out the door. This role owns the front desk experience: warm greetings, seamless scheduling, membership sales, and smooth clinic flow. We are looking for someone who is genuinely warm, highly organized, and passionate about delivering a five-star client experience in every interaction. This is a part-time, evening shift position.

PRIORITY ORDER

When multiple demands arise simultaneously, the receptionist prioritize in this order: 1. In-person clients are always the first priority. 2. Incoming phone calls. 3. Administrative tasks, emails, and scheduling.

KEY RESPONSIBILITIES

Greet every client within 10 seconds of arrival; offer refreshments and ensure comfort. Manage appointment scheduling, confirmations, reminders, and waitlist. Check clients in and out; collect and process payments accurately. Answer incoming calls and respond to messages promptly and professionally. Present and sell Bella Visage memberships and treatment packages using a consultative approach. Maintain the front desk area and lobby in a clean, welcoming, and organized state. Manage product retail display and assist with retail sales. Coordinate client flow and communicate scheduling changes to clinical staff. Assist with intake forms, consent documentation, and client record accuracy. Follow up with clients post-appointment to gather feedback and confirm satisfaction. Support clinic events, promotions, and marketing efforts as directed.

REQUIRED QUALIFICATIONS

High school diploma or equivalent required. 1+ year of customer service experience in a client-facing role. Genuine warmth, patience, and a service-first mindset. Strong organizational skills and ability to multi-task in a fast-paced environment. Proficiency with computers and scheduling software; ability to learn new systems quickly. Professional appearance and communication style.

PREFERRED QUALIFICATIONS

Experience in a medical spa, aesthetic clinic, salon, or luxury retail/hospitality environment. Sales experience,memberships, packages, or retail upselling. Familiarity with EMR (electronic medical records) or practice management software systems.

COMPENSATION

Starting pay $18.00/hr

PHYSICAL REQUIREMENTS

Ability to stand and move for extended periods in a clinical environment. Ability to lift up to 25 lbs occasionally. Manual dexterity sufficient to handle instruments and equipment safely. Ability to work in a fast-paced environment and manage competing priorities calmly.
