Front Desk Receptionist for Home Care Agency

Job Description

We are looking for a reliable, highly professional, and organized Front Desk Receptionist to join our team. This is an important position within our home care agency and requires someone who can confidently manage front-office responsibilities while supporting the day-to-day coordination of clients, caregivers, and office operations. The ideal candidate is dependable, professional, detail-oriented, and comfortable working in a fast-paced home care environment. We are looking for someone who takes pride in their work, communicates exceptionally well, maintains confidentiality, and understands the importance of providing excellent service to both our clients and caregivers. Key Responsibilities Serve as the professional and welcoming first point of contact for clients, caregivers, families, and visitors. Answer and manage incoming phone calls, emails, and office communications promptly and professionally. Assist with caregiver scheduling and staffing, including coordinating coverage, schedule changes, call-outs, and open shifts. Assist with client intake, gathering necessary information and ensuring documentation is complete and accurate. Assist with authorizations, service documentation, and maintaining accurate client records. Monitor and assist with EVV (Electronic Visit Verification) and timekeeping, including identifying discrepancies and following up as needed. Provide payroll support, including reviewing caregiver hours, time records, and documentation for accuracy. Assist with insurance paperwork, client files, caregiver records, and other administrative documentation. Coordinate communication between clients, caregivers, office staff, and management. Assist with staffing needs and help ensure appropriate caregiver coverage for client schedules. Maintain organized and up-to-date electronic and physical files. Support general office coordination and administrative operations. Follow agency policies, procedures, confidentiality requirements, and applicable home care regulations. Handle sensitive information with discretion and professionalism. Provide exceptional customer service and help create a positive experience for clients, caregivers and administrative team. Coordinate projects and tasks to ensure efficient workflow Handle billing and payment processing Qualifications & Experience Previous experience in home care, healthcare, medical office administration, staffing, scheduling, or a related field strongly preferred. Experience with caregiver scheduling and staffing is highly desirable. Familiarity with EVV, timekeeping, payroll support, client intake, authorizations, and insurance documentation is a strong advantage. Excellent communication and interpersonal skills. Strong computer skills and the ability to learn agency software and systems quickly. Excellent organizational skills and attention to detail. Ability to prioritize multiple responsibilities and remain calm in a busy office environment. Strong problem-solving skills and the ability to take initiative. Must be dependable, punctual, responsible, and able to work effectively as part of a team. Bilingual English/Spanish is a plus, but not required. Proficient computer literacy, including experience with
HHAXCHANGE.
