The Administrative Assistant/ Front Desk Receptionist provides administrative support and clerical assistance to Kennedy's Care Enterprise Inc management, staff, and visitors. A skilled and responsible administrative position requiring attention to detail and communication skills working in a small office environment. Education High School Diploma or equivalent education required 3 years of administrative assistant experience Knowledge of appropriate software including Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat Valid Driver's License and current automobile insurance Requirements Ability to work accurately and efficiently Ability to work well under pressure Proven work experience as a Receptionist, Front Office Representative, or similar role Proficiency in Microsoft Office Suite Hands-on experience with office equipment (e.g. fax machines and printers) Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Multitasking and time-management skills, with the ability to prioritize tasks Customer service attitude Knowledge of Michigan Department of Health and Human Service, Detroit Wayne Integrated Health Network Must be able to follow instructions Responsibilities Front Desk Receptionist Great and welcome guests as soon as they arrive at the office Direct visitors to the appropriate person and waiting area Answer, screen, and forward incoming phone calls Provide basic and accurate information in-person and via phone/email Ensure reception area is tidy and presentable, with all necessary stationery and materials (e.g. pens, forms, and brochures) Provide basic and accurate information in-person and via phone/email Receive, stamp and sort mail distribute daily mail/deliveries Maintain office security by following safety procedures and controlling access via reception desk (monitor logbook, issue visitor badges if applicable) Maintain inventory of office supplies, determining inventory level, anticipating needed supplies, and placing order with appropriate department Update calendars and schedule meetings Maintain gas voucher logbook Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing Administrative Assistant Provide administrative support to the Provider, Office staff and Management Team as needed Send out appropriate forms and correspondence Maintain confidential files Supports team by performing tasks related to organization and strong communication Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques Screen phone calls, drafting letters and other documentation on behalf of Provider Arrange travel and accommodations
