Shelter front desk staff perform administrative tasks (documentation, intake assistance, reception, and processing mail), ensure the safety of the residents, keep the shelter clean, and assist clients with various needs. Responsibilities and Duties
Greet clients and visitors on arrival.
Answer phone calls. Take messages. Provide information to callers while adhering
to HIPAA guidelines.
Process mail. Receive, distribute, and file mail as appropriate.
Complete required documentation before the end of the shift. This includes but is not limited to shift notes of interactions with clients, phone messages, checked off task lists, and critical incident reports.
Maintaining confidentiality of records, client identities, and other Protected Healthcare Information.
Communicate relevant information about the status of the building, services, and clients to the next shift.
Support clients and assist them with their needs. This includes answering questions, assisting with forms, applications and appointments, addressing concerns, providing access to showers and laundry, distributing hygiene and laundry supplies, and providing other assistance as requested.
Follow SPIN Policies and Procedures and shelter guidelines. Inform clients of shelter rules and guidelines and ensure compliance.
Protect the safety of clients and assure security of the property. Report concerns to the Shelter Manager, the on-call staff, or the authorities. Periodically walk around and inspect the property.
Maintain the cleanliness of the property. Sweep and mop floors. Wipe tables and chairs. Clean the kitchen as needed. Clean and disinfect sleeping areas, bathrooms, offices, and shared areas as needed.
Distribute medication. New employees will be trained in distribution procedures.
Confiscate and appropriately dispose of contraband in accordance with the shelter guidelines.
Contact emergency services when needed and assist the responders. Provide the responders with information needed.
Provide a safe, positive, and welcoming environment and treat clients respectfully.
De-escalate volatile situations while prioritizing the safety of all those involved.
Monitor the inventory of office supplies and cleaning supplies. Inform the shelter manager when supplies are needed.
Maintain a supply of clean blankets and towels and distribute them in accordance with the shelter guidelines.
Perform other clerical duties as assigned. Qualifications
High school diploma or GED
Possession or acquisition within the first year of employment of Peer Support Certification
Candidates must be able to communicate effectively and respectfully and should practice active listening.
Candidates must be able to resolve conflict fairly and respectfully. Candidates must be willing to learn de-escalation techniques.
Basic computer and documentation skills
Personal characteristics of the ideal candidate include patience, compassion, empathy, and the desire to maintain a positive environment.
Experience working in an office or clerical environment preferred.
Experience working with vulnerable populations preferred.
Must be able to lift 20 pounds
Must be able to multi-task in a sometimes-fast paced environment
Candidates must obtain a Food Safety Certification within 30 days of hire
