We are currently seeking a friendly, organized, and detail-oriented Receptionist / Administrative Assistant to join our Great River office. Please Note:
During tax season (January 15 - April 15), our firm operates on Saturdays. Candidates must be available to work Saturdays during this period and will receive overtime pay. Key Responsibilities Greet clients and visitors with a warm, professional, and welcoming demeanor. Answer and direct incoming phone calls, take messages, and respond to inquiries when appropriate. Schedule appointments and maintain staff calendars. Maintain an organized and professional reception area and common office spaces. Manage and maintain records, files, and administrative documentation. Prepare and type financial statements, tax returns, correspondence, and other firm-related documents. Distribute incoming mail and prepare outgoing mail for daily delivery. Review incoming tax documents and client responses for completeness. Track and assist with invoice payments and billing-related tasks. Assist with the preparation and distribution of engagement letters. Provide general administrative support to partners and staff as needed. Qualifications High school diploma or equivalent required. Previous experience as a receptionist, administrative assistant, or in a similar role is required. Proficiency in Microsoft Office Suite, including Outlook, Teams, Word, and Excel. Experience with billing and invoicing is preferred. Prior experience in an accounting, tax, or professional services environment is a plus. Familiarity with CCH Axcess is beneficial but not required. Excellent verbal and written communication skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize tasks and perform effectively in a fast-paced environment. Must be legally authorized to work in the United States.
