Scheduling Coordinator's priority is excellent customer service. This job requires a friendly personality, multi-tasking, attention to detail and the ability to work at a fast pace. You are the first contact our patients have on the phone so it's crucial that you provide a great first impression. You are also the first and last person our patients see when visiting our office so a professional and neat appearance is necessary. Areas of responsibility may include but are not limited to: Answering multiple incoming phone calls Scheduling appointments Greeting and checking patients in Daily Collections Daily Checklists Checking patients out Taking new patient phone calls Data Entry Appointment Reminders Running Monthly Reports Administrative tasks Office Participation Template schedule 12 months ahead Schedule template changes Miscellaneous duties as assigned by management
PRIMARY JOB DUTIES / RESPONSIBILITIES A
Scheduling Coordinator will be responsible for the following: ♦Answering Phone Calls You will answer incoming calls by the first ring. Any calls that go to voicemail will be returned immediately. You will always be polite and courteous when speaking with patients and/or parents over the phone. ♦Scheduling Appointments You will schedule patient appointments using our software and by the search method. They are to be scheduled within the timeframe assigned by the doctor. You will utilize the scheduled template and not override closed time, doctor time or appointment type. You will ensure that every patient has a future appointment scheduled before leaving the office. You will review the schedule daily to maximize appointment times. ♦Greeting/Checking Patients in You will provide a great experience when patients arrive. Greeting them with a smile and a friendly welcome. They are to be checked into the software which notifies the clinic. It is also important that you check the reception area on a regular basis to ensure that no patient has been overlooked. ♦Daily Collections
- You will be responsible for collecting any balance due on the Daily Collections report provided by the Financial Coordinator ♦Daily Checklists
- You will be responsible for completing the Daily Checklists to ensure the office is cleaned, stocked and orderly. You will email the completed list to the Office Manager at the end of every day. ♦Checking Patients Out
- All patients are to have a future appointment made at the time of check out. You will end their appointment on a high note with a friendly comment. ♦New Patient Phone Calls
- This initial phone call is the beginning of our relationship with our patients and it's imperative that it's a good experience. You will collect the necessary information using the appropriate form and will follow all the scripting without sounding scripted. ♦Data Entry
- You will be responsible for accurately entering all new patient information into our operating system. It is crucial that attention to detail is always practiced. You will be consistent in making notes in the comments section of the patient's chart on all communication exchanged with patient/parent. You are required to keep all patient information accurate and updated. ♦Appointment Reminders
- You will make daily appointment reminder phone calls, text or emails when necessary. ♦Monthly Reports
- Your job will ensure that all patients have scheduled appointments. Monthly reports will indicate if anyone has been overlooked and you will make contact to schedule. ♦Administrative Tasks
- There are many administrative tasks that are required to keep the front desk efficient.
You will be responsible for making copies, ordering supplies, faxing, emailing, texting, arranging for team lunches, creating word and excel documents, among other things.
ADDITONAL JOB FUNCTIONS
Practice Promotion Implement approaches to attract a constant flow of new patients and to maximize referrals Maintain good relationships with referring dentists and other professionals in the community Support friends and family of current patients who could benefit from orthodontics by encouraging them to schedule a new patient exam Participating in marketing activities such as festivals and trade shows when requested Office Participation Be an active participant in team meetings Promote team concepts by interacting with others in the office Work cohesively with fellow team members to provide an atmosphere of trust, mutual respect and cooperation Miscellaneous Procedures Follow all equipment instructions Assist marketing department in making up delivery gifts Adhere to all HIPAA privacy and security regulations Organization, cleaning and stocking front desk and reception areas Maintenance of office equipment Be responsible for the cleanliness of the front office Perform other tasks as assigned by Doctor or Office Manager
REQUIREMENTS
Abilities Proficiency in all administrative and customer service skills Good interpersonal skills to maintain effective rapport with patients, doctors, other team members and community Effective verbal skills to communicate with doctor, parents and patients Proficiency in computer data entry Physical Must be able to lift to 40 pounds Must be able to hear staff on the phone, 2-way radio, those who are served in person and speak clearly to communicate information to patients and staff Must have normal vision or use of glasses/corrective lenses to bring vision to normal Must have high manual dexterity Must be able to reach above the shoulder level, must be able to bend, squat and sit, stand, stoop, kneel and twist/turn Educational High school diploma or equivalent
