Castle Rock Medical Center is looking for a PRN As-Needed Receptionist to join the team. Summary of Job The Medical Receptionist serves as the welcoming face of the clinic in person and on the phone. This position requires staff to be not only technically proficient but also warm, professional, and patient-focused. A Medical Receptionist sets the tone for the entire office experience — serving as a critical member of the team who ensures efficient and timely operations while maintaining a commitment to patient confidentiality and compliance with HIPAA regulations. Essential Job Functions Front Office & Patient Access Welcome and greet patients, families, and visitors in a respectful and friendly manner, either in person or over the phone. Register new patients and update existing patient demographics by collecting detailed personal and financial information. Verify medical insurance benefits and obtain prior authorizations via computer or phone. Distribute and assist in the completion of necessary forms and documentation. Educate patients on office procedures and policies. Schedule appointments according to predetermined protocols. Check out patients efficiently and collect any required co-payments. Notify patients of provider wait times and address any concerns or anxieties in a calm, supportive manner. Support and guide patients as needed throughout their visit. Assist patients with patient portal enrollment, navigation, and education. Act as a liaison between clinical staff and patients. Perform additional related duties as assigned. Administrative Support Answer incoming telephone calls and address appropriately or triage to the appropriate provider or staff member. Record and distribute electronic messages accurately. Send and receive patient medical records in accordance with HIPAA and other applicable state and federal regulations. Facilitate the scheduling of tests and coordination of referrals. Assist with administrative tasks such as scanning, copying, and mailing. Contact patients with appointment reminders via their preferred communication method. Utilize Microsoft Office software to compile data and generate reports. Perform additional related duties as assigned. Lobby & Environment Management Monitor the lobby to maintain a clean and organized waiting room during business hours. Monitor lobby activities and alert appropriate staff when triage is needed or when the lobby reaches capacity. Report any suspicious activity or disorderly conduct in the waiting room to supervisors. Keep medical office supplies adequately stocked by anticipating needs, placing orders, and monitoring office equipment. Perform additional related duties as assigned. Qualifications Education High school diploma or equivalent required; Associate degree or higher preferred. Skills & Abilities Proficient in computer usage, including mouse/keyboard operation and navigating scheduling, registration, and patient care applications. Excellent oral and written communication skills with professional phone and email etiquette. Friendly, energetic, and enthusiastic demeanor. Ability to work in a diverse healthcare environment with varied patient needs and expectations. Organized, detail-oriented, and able to multitask and prioritize effectively. Reliable, punctual, and consistently dependable. Willingness to learn, adapt, and grow within the role. Commitment to patient confidentiality and compliance with HIPAA regulations. Certifications Current Basic Life Support (BLS/CPR) certification through the American Heart Association, American Red Cross, or ASHI required. Preferred Qualifications Knowledge of medical terminology, procedures, and diagnoses. Knowledge of healthcare insurance and billing processes. 1+ years of experience working in a medical office setting. Experience with electronic medical record (EMR) systems. Bilingual in English and Spanish. Experience in a customer service position. Wage & Benefits:
The pay scale starts at $16.62/hour and up, depending on experience. Generous 401(k) & 401(k) Matching. No Weekends.
