GENERAL SUMMARY
The Tool and Asset Coordinator / Asset Control & Gate Clerk is responsible for managing, tracking, issuing, receiving, and controlling company tools, equipment, and assigned assets while also overseeing gate access for moving assets, personnel, and visitors. This position ensures that only authorized personnel with proper identification, required licensure, and approval are permitted to check out company assets and equipment. The role also serves as the first point of contact for visitors, ensuring proper check-in, documentation, and direction to the appropriate personnel or location. This position plays a key role in operational efficiency, accountability, safety, and compliance by maintaining accurate records, monitoring asset movement, and enforcing company procedures related to asset control and yard access.
PRIMARY RESPONSIBILITIES
Conduct gate checks for all moving assets entering and exiting company yards or facilities Verify authorization, identification, and required licensure before allowing personnel to check out moving assets, tools, or equipment Ensure personnel assigned to equipment are qualified and approved for the specific asset being checked out Track checkin/checkout of tools, equipment, vehicles, trailers, and other assigned assets to employees and crews Maintain accurate records of asset movement, including date, time, personnel, and asset details Monitor asset movement between yard, shop, field locations, and project sites Inspect returned tools, equipment, and assets for damage, cleanliness, and functionality Report damaged, missing, lost, or unauthorized use of tools and equipment to management promptly Coordinate repair, replacement, calibration, or maintenance of tools and equipment as needed Maintain organized storage areas, tool rooms, and asset yards for efficient access and accountability Verify that all asset records, serial numbers, tags, registrations, inspection dates, and identifying information are current and accurate Assist with tracking required documentation for vehicles, trailers, tools, and assigned assets Check in visitors, and Direct visitors to the appropriate department, manager, or job location Enforce yard access, gate procedures, asset control measures, and security requirements Coordinate with Fleet, Yard, Warehouse, and Operations personnel regarding asset movement and operational needs Prepare and issue tools, equipment, and assets based on operational demands and project requirements Maintain spreadsheets, logs, databases, or software systems related to asset tracking and inventory control Conduct routine physical inventory counts and assist in reconciling discrepancies between physical inventory and system records Support onboarding and offboarding by ensuring assigned tools and assets are properly issued and returned Ensure proper documentation is completed for transfers, returns, losses, and disposals of company property Identify and report unauthorized access, discrepancies, policy violations, or unsafe conditions Maintain a safe, organized, and professional gate, yard, and tool control environment Provide reports to management regarding shortages, damaged items, inventory levels, and asset utilization trends Assist with continuous improvement of asset tracking procedures, gate controls, and accountability processes
KNOWLEDGE, SKILLS & ABILITIES
Knowledge of asset control, inventory tracking, access management, and basic yard operations Strong organizational skills and attention to detail Ability to maintain accurate records and documentation Strong communication and customer service skills Ability to enforce policies consistently, professionally, and respectfully Basic understanding of tools, construction equipment, fleet assets, and field operations preferred Strong problemsolving skills and ability to identify discrepancies or missing information Proficient in Microsoft Office, including Excel, Word, and Outlook Ability to learn and use company software systems, databases, and tracking programs Ability to work independently while supporting multiple departments in a fastpaced environment Ability to remain alert and effective in a hightraffic operational setting
EDUCATION, LICENSES AND EXPERIENCE
High school diploma or GED required Associate degree or technical training preferred, but not required Minimum of 2 years of experience in asset tracking, inventory control, warehouse operations, yard operations, gate control, fleet coordination, or a similar role preferred Experience in construction, industrial, utility, fleet, or oilfieldrelated environments preferred Valid driver's license required Forklift certification or ability to obtain certification may be preferred depending on business needs Experience with construction equipment, fleet assets, or industrial operations is a plus

Work Environment:
Work performed in field environments including construction sites, powerline projects, and industrial facilities. Frequent exposure to outdoor weather conditions, extreme temperatures, noise, dust, and hazardous work areas.
Physical Activity:
Requires ability to walk, stand, climb, and perform inspections for extended periods of time. Must be able to lift up to 50 lbs and wear required PPE (hard hat, safety glasses, FR clothing, fall protection, etc.)
Work Schedule:
Fulltime; may require overtime, shift work, weekends, and emergency callouts
Travel:
Travel to various job sites required
