Position Summary The Temporary Title & Records Specialist provides administrative and customer service support to families and cemetery staff regarding cemetery property ownership, title documentation, and record maintenance. This position assists families both in person and by telephone, prepares ownership-related documents, performs ownership verification, researches cemetery records, and ensures that PlotBox, Kardex, and supporting documentation are updated accurately and timely. The position requires strong attention to detail, professionalism, confidentiality, and the ability to communicate compassionately with families while coordinating closely with the Family Service Department. Essential Duties and Responsibilities Assist families and internal staff in person, by telephone, and through email regarding title, ownership, and cemetery record matters. Respond to requests and inquiries in a professional, courteous, and timely manner. Perform ownership verification by researching PlotBox, Kardex, deeds, contracts, scanned documents, and other available cemetery records. Prepare and process Transfers of cemetery property/interment rights. Prepare and process Affidavits of Heirs. Prepare and process Affidavits of Name Change. Prepare and process Terminations of Joint Tenancy. Perform record remediation and corrections as needed. Review documentation for completeness and accuracy before processing. Update ownership, title, and related information in PlotBox and Kardex. Scan, upload, index, and maintain supporting documents and records as required. Ensure electronic and historical records remain consistent following ownership or title changes. Identify discrepancies in cemetery records and assist with research and remediation. Coordinate with the Family Service Department regarding ownership questions, documentation requirements, property verification, and family requests. Communicate with Family Service Counselors and other departments when additional information, documentation, or verification is required. Maintain organized records of completed and pending title and ownership requests. Protect confidential customer and cemetery information. Perform other related Title & Records duties as assigned. Knowledge, Skills, and Abilities Strong attention to detail and accuracy. Excellent organizational and record keeping skills. Strong written and verbal communication skills. Ability to provide professional and compassionate customer service. Ability to work with families who may be dealing with sensitive circumstances. Ability to review ownership and legal documentation carefully. Ability to research and resolve discrepancies between multiple record sources. Ability to prioritize multiple requests and follow through to completion. Comfortable working with computer-based recordkeeping systems. Ability to work collaboratively with Family Service and other cemetery departments. Ability to maintain confidentiality and exercise good judgment. Preferred Qualifications Previous administrative, records, title, customer service, cemetery, funeral service, or related experience preferred. Experience with PlotBox or cemetery management software is preferred but not required. Experience reviewing property, ownership, or legal documentation is a plus. Experience with document scanning, electronic filing, and records management preferred. Bilingual English/Spanish skills are a plus. Temporary Assignment This is a temporary position created to provide coverage during an employee's extended leave. The anticipated assignment may last up to six months or longer depending on operational needs and the duration of the leave. The length of the temporary assignment is not guaranteed. Pay:
