Job Description

Job Summary We are seeking a highly organized and detail-oriented Construction Office Manager to oversee the financial, payroll, human resources, and administrative functions of our client's construction office. This role plays an important part in maintaining accurate financial records, supporting project budgeting and estimating, processing payroll, managing accounts payable and receivable, and coordinating HR-related activities. The ideal candidate is comfortable working with numbers, financial documentation, employee records, and confidential information, while also being able to communicate effectively with project managers, vendors, employees, clients, and management. Construction industry experience is preferred, but candidates with strong accounting, payroll, HR, or office administration experience in another industry are encouraged to apply. Responsibilities Finance & Accounting Manage day-to-day financial and administrative functions for the office Process and maintain accounts payable (AP) and accounts receivable (AR), including invoices, payments, receipts, and customer billing Review vendor invoices for accuracy, proper coding, approvals, and supporting documentation Monitor outstanding receivables and assist with collections and payment follow-up Maintain accurate financial records and documentation using QuickBooks or otheraccounting software Assist with job costing, project budgets, financial tracking, and expense monitoring Assist project managers and management with estimates, bids, pricing, and financial projections Prepare and maintain financial reports, spreadsheets, and other fiscal documentation Reconcile accounts, credit card transactions, vendor statements, and other financial records as needed Track project expenses and compare actual costs against budgets or estimates Assist with month-end and year-end financial processes Maintain organized records for audits, tax preparation, and other financial reporting requirements Payroll & Human Resources Process or coordinate weekly/biweekly payroll, including timesheet review, payroll adjustments, deductions, and approvals Review employee time records for accuracy and ensure payroll is processed in a timely manner Maintain accurate employee personnel and payroll records Assist with employee onboarding, including required employment paperwork, payroll setup, and documentation Assist with employee offboarding and final payroll documentation Support administration of employee benefits and other company programs Maintain confidential employee records and HR documentation Assist with workers' compensation documentation, unemployment claims, and other employment-related administrative matters Ensure required employee records and documentation are maintained accurately and confidentially Serve as an administrative resource for employees and management regarding payroll and HR-related questions Construction & Project Administration Work closely with project managers and leadership to maintain accurate project financial and administrative records Assist with project budgets, estimates, purchase orders, invoices, change orders, and related documentation Coordinate documentation between project teams, vendors, subcontractors, clients, and the office Track project-related expenses, commitments, and outstanding invoices Assist with subcontractor and vendor documentation, including certificates of insurance and required paperwork Maintain organized electronic and physical files for projects and financial records Monitor deadlines and follow up on outstanding documentation or approvals Support management with financial and operational reports as needed General Office Administration Oversee day-to-day administrative operations and ensure office processes run efficiently Manage correspondence, phone calls, scheduling, and general office communications Maintain office records, supplies, and administrative systems Provide professional and responsive communication with employees, vendors, clients, and other business partners Handle sensitive financial, employee, and company information with a high degree of confidentiality Qualifications Previous experience in office management, accounting, bookkeeping, payroll, HR administration, or a related field Construction industry experience strongly preferred Experience with accounts payable and accounts receivable Experience processing or administering payroll Familiarity with QuickBooks or comparable accounting software Strong understanding of basic accounting and financial recordkeeping principles Experience working with invoices, vendor payments, billing, reconciliations, and financial reports Strong Excel skills, including spreadsheets, formulas, and financial tracking Experience supporting budgeting, estimating, job costing, or project financial administration is highly desirable Familiarity with HR processes, employee records, onboarding, benefits, and employment documentation Strong attention to detail and a high degree of accuracy Excellent organizational and time-management skills Ability to manage multiple priorities and meet deadlines Ability to handle confidential financial and employee information professionally Strong written and verbal communication skills Ability to work independently while collaborating effectively with project managers, employees, vendors, and leadership Preferred Qualifications 3+ years of experience in accounting, payroll, HR, office management, or construction administration Construction accounting or construction office experience Experience with job costing, project budgets, estimates, or construction financial reporting Experience with QuickBooks Experience administering payroll and HR functions Associate degree, accounting/business coursework, or equivalent professional experience About the Role This is a hands-on position for someone who enjoys being the person who keeps the financial, payroll, HR, and administrative side of the business organized and running smoothly. The successful candidate will have strong attention to detail, sound judgment, and the ability to take ownership of responsibilities while supporting the company's project and financial goals.
Pay:
$26.00 - $29.00 per hour Expected hours: 40.0 per week
