Job Description

ABOUT MONARCH HOMES
Monarch Homes is a local, family-owned custom home builder serving the Cincinnati/Dayton region, Southwest Ohio, and portions of Indiana. We have been building quality homes since 2010, with an emphasis on craftsmanship, exceptional attention to detail, and a personalized homebuilding experience. Our homeowners have extensive opportunities to personalize their homes, including lighting, plumbing fixtures, cabinetry, hardware, flooring, tile, appliances, and other finishes. Behind every home is a significant amount of purchasing, budgeting, product tracking, and vendor coordination. We are seeking a highly organized, analytical, and computer-savvy individual to join our team as a Purchasing & Operations Coordinator. This is an excellent opportunity for a recent college graduate or early-career professional who is strong with numbers, spreadsheets, technology, organization, and problem-solving and wants to build a career in purchasing and residential construction. Construction experience is not required. We are willing to teach the construction side of the position. What is important to us is finding someone who learns quickly, is exceptionally comfortable with computers and spreadsheets, pays close attention to details, enjoys working with numbers and data, and takes ownership of making sure things are done correctly and on time.
RESPONSIBILITIES
This position combines detailed computer and purchasing work with hands-on responsibility for ensuring products and materials are accurately purchased, received, organized, and ready for our construction team. Create, review, issue, and maintain purchase orders for all phases of residential construction. Develop and maintain purchase order material lists for our home plans, including homeowner options and selections. Review construction plans, specifications, homeowner selections, budgets, and vendor pricing to determine purchasing requirements. Complete material and cost takeoffs as needed to prepare accurate purchase orders and budgets. Request and compare quotes from suppliers and trade partners. Purchase and track selected construction products, including lighting fixtures, door hardware, plumbing fixtures, appliances, mirrors, accessories, and other items. This includes researching products and pricing online, placing orders, and monitoring deliveries. Receive and verify products and materials purchased directly by Monarch Homes, organize them into job-specific packages in our office, and stage them for our project managers to take to the appropriate homes. Verify quantities, model numbers, finishes, pricing, cost codes, and scopes of work to ensure purchasing accuracy. Maintain accurate vendor, product, material, and pricing information within our purchasing system. Maintain and review construction budgets and assist with preliminary budgets for new home plans and custom projects. Provide cost information for customer-requested options and changes. Review purchase orders, vendor acknowledgments, invoices, and budgets to identify and resolve discrepancies. Track outstanding orders, backorders, lead times, and delivery requirements to help ensure materials are available when needed. Communicate professionally with suppliers and trade partners regarding pricing, availability, substitutions, scopes of work, and other purchasing matters. Assist in evaluating existing suppliers and trade partners and identifying new sources when needed. Work with our construction and office teams to ensure homeowner selections and changes are accurately reflected in purchasing and project budgets. Help develop and continuously improve purchasing processes, spreadsheets, databases, material lists, and internal computer systems. Identify opportunities to improve purchasing accuracy, efficiency, vendor pricing, and overall construction costs.
WHO WE'RE LOOKING FOR
Exceptionally comfortable using computers and learning new software. Strong Microsoft Excel and spreadsheet skills. Comfortable working with numbers, budgets, pricing, and basic accounting concepts. Analytical and naturally inclined to investigate discrepancies and determine why information does not match or balance. Exceptional attention to detail, including model numbers, quantities, finishes, pricing, and specifications. Highly organized and able to manage multiple open items, deadlines, and follow-up requirements. Willing to ask questions when information is incomplete rather than making assumptions. Professional and effective when communicating with vendors, trade partners, and coworkers. Demonstrates ownership, integrity, reliability, accuracy, and strong follow-through. Interested in improving systems and finding more efficient ways to complete work.
EDUCATION AND EXPERIENCE
Bachelor's degree preferred, but not required. Degrees in Accounting, Finance, Business, Business Analytics, Management Information Systems, Supply Chain, Operations, or a related field are particularly relevant. Recent college graduates are encouraged to apply. Candidates with approximately 1-2 years of relevant experience in accounting, purchasing, operations, estimating, or a similar administrative/analytical role are also encouraged to apply. Residential construction experience is helpful but not required. Strong computer proficiency is required; strong Microsoft Excel skills are highly preferred. We are more interested in finding someone with exceptional aptitude, attention to detail, integrity, and the ability to learn than someone who already knows our industry.
COMPENSATION AND BENEFITS
$52,000-$60,000 per year, depending on experience and qualifications. Health insurance Dental insurance Vision insurance 401(k) with company match Paid time off/vacation Paid holidays Year-end profit sharing Opportunities to participate in select vendor rebate incentives Monthly reimbursement for business use of a personal cell phone
SCHEDULE AND WORK LOCATION
Full-time, 100% in-office position Monday-Friday, 8:00 AM-4:30 PM Professional construction office located inside our decorated model home at 355 North Church Dr., Lebanon, Ohio 45036 Occasional additional hours, including a Saturday morning, may be needed during busy periods or to meet deadlines No normal jobsite travel is required
CAREER GROWTH
This position is being structured as a career-track role. Initially, you will learn Monarch Homes' purchasing systems, vendors, products, construction processes, and budgeting procedures. As you demonstrate proficiency, you will take increasing ownership of purchase orders, master material lists, budgeting, estimating, vendor management, and purchasing-process improvement. There is an opportunity to advance from Purchasing & Operations Coordinator to Purchasing Agent and ultimately into a Purchasing Manager role. We are looking for someone who wants to grow into greater responsibility—not simply someone to enter purchase orders.
HIRING PROCESS
Qualified candidates may be asked to complete a short practical spreadsheet and purchasing exercise as part of the interview process. Construction knowledge is not required for the exercise.
