Job Description

SENIOR EXECUTIVE ADMINISTRATOR POSITION OVERVIEW
Lead Wichita is seeking an organized, resourceful, and mission driven professional to serve as a full-time Senior Executive Administrator. This is a full-time, exempt position reporting directly to the CEO. The Senior Executive Administrator provides key administrative and operational support, including calendar management, scheduling, stakeholder communication, and day-to-day administration of the organization's Hub. This position offers the opportunity to work directly alongside the CEO and is dedicated to inspiring and connecting leaders across Wichita's sectors, helping strengthen the systems and day-to-day operations that allow that vision to grow, with a hands on role in advancing the mission. The ideal candidate thrives in the Integrator role by bringing structure, follow-through, and operational discipline that complement the CEO's vision while remaining comfortable in a small, collaborative organization; brings strong judgment and discretion when handling sensitive information; and is comfortable managing a wide range of responsibilities. What Success Looks Like After 1 Year The organization's space/hub runs on clear, consistently maintained scheduling and usage policies. The Code of Conduct is clearly communicated, understood, and consistently upheld across meetings, events, and everyday use of the space. The CEO and this role maintain a clear project pipeline and "parking lot" for ideas and initiatives, keeping priorities visible and follow up on track The CEO's calendar and administrative needs are handled proactively and reliably, giving the CEO more time to focus on external relationships, leadership, and other high priority work.
KEY RESPONSIBILITIES 1.
Executive Support Manage and coordinate the CEO's and other shared calendars, scheduling, and correspondence Prepare briefing materials, agendas, and follow-up notes for meetings Draft, proofread, and format correspondence, reports, and internal communications Coordinate travel arrangements as needed Serve as a liaison between the CEO and board members, donors, partners, and vendors Handle confidential organizational information with discretion and sound judgment Partner with the CEO to maintain a project pipeline and "parking lot" of ideas and initiatives, helping prioritize projects and track follow through 2. Office Coordination & Operations Serve as the first point of contact for the organization: answering phones, greeting visitors, and managing general inquiries Oversee day-to-day office operations, including supplies, equipment, mail, and vendor relationships Maintain organized digital and physical filing systems Support basic financial administration Help establish and document office procedures and systems as the organization grows Serve as the primary administrator of the organization's space, including scheduling, usage policies, and day-to-day upkeep Coordinate communication and scheduling across internal and external stakeholders, with attention to clear handoffs and follow through 3. Event & Program Support Serve as an internal point of contact for outside vendors Assist in coordinate internal logistics surrounding vendor-led events — scheduling, materials, and stakeholder communication Support day-of coordination and troubleshooting alongside external vendors as needed 4. Communications & Community Relations Support Assist CEO with maintaining donor, volunteer, and other stakeholder contact lists and related data entry Support preparation of newsletters, executive communications, or donor acknowledgment communications as assigned Help maintain consistent branding and professionalism across external-facing materials 5. Special Projects & Other Duties Support special projects as assigned to advance organizational priorities Perform other duties as needed to support the mission and daily operations of the organization
QUALIFICATIONS
Required 5+ years of experience in an administrative, executive support, or office coordination role Experience supporting a board or leadership team Strong organizational skills and the ability to manage multiple priorities and deadlines independently Excellent written and verbal communication skills High level of discretion and demonstrated ability to maintain confidentiality Proficiency in Microsoft Office and/or Google Workspace Self-directed and comfortable working independently and taking initiative in a small team environment Preferred Bachelor's Degree Experience with event planning or coordination Familiarity with nonprofit operations, fundraising, or volunteer management Experience with donor management or CRM software Familiarity with Traction or similar operating systems, particularly the Integrator role

PHYSICAL REQUIREMENTS
Ability to sit or stand for extended periods in a typical office environment or event space Ability to use a computer, telephone, and other standard office equipment for prolonged periods Ability to move throughout office facilities, meeting spaces, and event venues Occasional lifting, carrying, pushing, or pulling of up to 25 pounds, including event materials, office supplies, and equipment Occasional bending, reaching, stooping, and kneeling while organizing office or event materials Ability to communicate effectively in person, virtually, and by telephone Occasional local travel to meetings, events, or other business locations Occasional evening or weekend hours may be required to support organizational events, meetings, or special projects
COMPENSATION
Compensation for this position will be determined based on the selected candidate's relevant experience, qualifications, skills, and demonstrated ability to successfully perform the duties of the role
