Job Description

Job Summary A busy construction organization in La Palma, CA is seeking a Construction Contracts Admin for a temp-to-hire opportunity. This role is ideal for a detail-oriented administrative professional with construction contract experience who enjoys managing time-sensitive documentation, coordinating with multiple departments, and keeping complex contract processes moving smoothly. The Construction Contracts Admin will support a high-volume regional team by coordinating contract review, execution, compliance documentation, insurance requirements, licensing, bonding, preliminary notices, lien releases, and related administrative needs. The right candidate will work closely with Sales, Operations, Accounting, Project Managers, Account Executives, customers, legal partners, and other stakeholders. Key Responsibilities
  • Coordinate the flow, review, execution, and administration of construction contracts across a busy regional team.
  • Manage compliance documentation including insurance certificates, licensing, bonding, preliminary notices, lien releases, and related requirements.
  • Serve as a key point of contact for contract-related questions and requests from internal teams, customers, and external stakeholders.
  • Support contract review processes by identifying key clauses, tracking changes, and helping move agreements toward completion.
  • Prepare and maintain prequalification documents, business license renewals, and other required certifications for applicable states and municipalities.
  • Organize and prioritize high-volume, time-sensitive requests while maintaining accuracy and clear communication. Compensation and Benefits
  • Pay range: $27.00 to $30.00 per hour.

  • Location:
    La Palma, CA. Required Qualifications and Skills
  • Coordinate construction contract administration, documentation flow, and contract execution processes.
  • Manage compliance-related documentation including preliminary notices, lien releases, bonds, insurance certificates, and license renewals.
  • Support cross-functional communication with Sales, Operations, Accounting, Project Managers, Account Executives, customers, and legal stakeholders.
  • Track, organize, and complete high-volume contract and compliance requests in a fast-paced environment.
  • 3 to 5 years of relevant administrative, contracts, construction administration, or related experience.
  • Familiarity with construction processes, including preliminary notices, lien releases, bonding, and compliance documentation.
  • Experience reviewing contracts and understanding key contract language such as indemnification, liquidated damages, consequential damages, and California contract law.
  • Knowledge of insurance documentation, including certificates of insurance and OCIP programs.
  • Ability to manage changing priorities, pivot frequently, and stay organized under time-sensitive deadlines.
  • Strong attention to detail, follow-through, communication skills, and professional judgment.
  • Reliable self-starter with a positive attitude and the ability to work effectively with multiple departments and stakeholders. Preferred Qualifications
  • Experience with Ironclad or another contract lifecycle management software platform.
  • Experience completing prequalification documents for construction or contractor-related work.
  • Familiarity with business license renewals, city certifications, and related requirements in California, Arizona, and Nevada.
  • Prior experience supporting contracts or compliance for industrial facilities, infrastructure, or construction-related projects.
