In this role, you will manage day-to-day office operations, oversee project documentation, track project budgets, and serve as a key liaison between clients, vendors, and subcontractors.
Key Responsibilities Monthly Client Billings:
Assemble and issue monthly client draw packages with supporting invoice backup and job cost tracking.
Accounts Payable & Disbursements:
Process vendor/subcontractor invoices, maintain project check runs, and update general ledger entries.
Lien Releases:
Request, collect, and verify conditional and unconditional lien waivers prior to payment disbursements.
Budget Tracking:
Maintain monthly project budgets, tracking actual costs versus committed purchase orders and subcontractor contracts.
Contract Administration:
Formally issue trade contracts, monitor change order logs, and record executed budget adjustments.
Subcontractor Insurance:
Manage contractor compliance, ensuring active Certificates of Insurance (COI) and W-9s are on file before work begins.
Qualifications & Requirements Experience:
2+ years of experience in job-cost bookkeeping or project administration within residential construction or land development.
Software:
Proficiency with construction software (e.g., QuickBooks Desktop/Online, Procore, GCPay or similar is highly preferred). Excel skills should include formulas and functions, pivot tables, and charts.
Industry Knowledge:
Strong understanding of construction draw processes, change order accounting, and lien waiver mechanics.
Flexibility:
Ability to manage deadlines independently under a flexible schedule.
Skills:
Excellent communication, strong organizational skills, and high attention to detail. Strong planning, organization, time-management, and attention-to-detail skills. Self-motivated, reliable, and able to manage a fluctuating workload while meeting deadlines. Ability to work effectively in a variety of work-site scenarios. Electrical construction industry experience is a plus.
