Summary:

We are looking for a reliable, organized, and proactive Dispatcher / Office Administrator to join our growing HVAC team. This is a key role responsible for coordinating our New Construction and Service teams, managing daily office operations, and ensuring smooth communication between technicians, customers, and leadership.

Key Responsibilities:

Serve as the main point of contact for our New Construction and Service technicians Dispatch jobs, schedule appointments, and coordinate daily workload Manage Softphone system - stay logged in and handle all incoming calls/texts Create and track Purchase Orders (POs) for parts and equipment Update and maintain accurate notes in ServiceTitan for every job Work the Follow-Up tab to convert estimates into booked jobs Assist with customer communication and scheduling Help keep the office organized and support daily administrative tasks Work closely with our VA team to ensure smooth handoffs Stay until the last New Construction technician finishes for the day (Monday-Thursday)

Ideal Candidate:

Strong communication and organizational skills Experience with ServiceTitan (preferred but not required) Reliable, professional, and detail-oriented Ability to stay calm under pressure and multitask Team player who takes ownership of their responsibilities
