Full-Time Maine Machinery Inc. is a small, growing trucking company looking for a dependable, highly organized, and motivated Office Manager / Dispatcher to oversee the day-to-day administrative and dispatch operations of our trucking business. This is a hands-on position for someone who is comfortable wearing multiple hats and keeping a busy trucking operation organized and running smoothly. The ideal candidate is a strong multitasker, communicates well with drivers and customers, and can work independently with minimal supervision. Will have the ability to work from home as needed. We currently are building a new garage in South Paris, Me and are hoping to be moved down there by Sept-Oct. of 2026. Responsibilities Coordinate daily truck dispatching, scheduling, and driver assignments Communicate with drivers, customers, brokers, vendors, and job sites Handle customer billing, invoicing, and accounts receivable Prepare, obtain, and maintain trucking permits, including oversize/overweight permits when required Maintain DOT, vehicle, driver, and company records Track registrations, inspections, insurance documents, permits, and expiration dates Organize load information, tickets, rate confirmations, and other trucking paperwork Assist with payroll and driver paperwork Schedule trucks and coordinate changes, delays, breakdowns, and last-minute transportation needs Maintain accurate records for loads, customers, equipment, and billing Answer phones, emails, and customer inquiries Work closely with management to keep daily operations organized and efficient Handle general office management and administrative duties Troubleshoot day-to-day issues and help keep trucks, drivers, paperwork, and customers on schedule Perform other duties related to the daily operation of the trucking business as needed Qualifications Previous experience in trucking, transportation, dispatching, logistics, or office management is strongly preferred Knowledge of trucking paperwork, DOT requirements, permitting, and billing is a plus Strong organizational and time-management skills Ability to multitask and prioritize in a fast-paced environment Strong written and verbal communication skills Comfortable working with computers, email, spreadsheets, billing software, and online permitting systems Ability to communicate professionally and effectively with drivers and customers Strong attention to detail and accuracy Dependable, self-motivated, and able to work independently Willingness to learn and take ownership of the position What We're Looking For Because we are a small trucking company, this isn't a position where you'll be responsible for just one piece of the operation. We're looking for someone who can take ownership of the office and help manage the moving parts that keep the company running every day. The right person will be organized, reliable, adaptable, and able to think on their feet. Trucking changes quickly, so being able to solve problems, communicate clearly, and keep everything organized is essential.
Paid Time Off:
1 week after a year, 2 weeks after 2 years, and 3 weeks after 5 years.
