Overview We are seeking a dynamic and detail-oriented Dispatcher/Operations Specialist to join our team. In this vital role, you will coordinate transportation activities, and ensure smooth communication across all levels of our supply chain. Your proactive approach will help optimize routes, maintain compliance with DOT regulations, and deliver exceptional customer service. Key Responsibilities Customer & Driver Communication — 50% Communicate with customers to obtain or clarify information necessary to successfully plan and operate charter trips. Identify missing, conflicting, or unclear trip information and proactively resolve questions before they create operational problems. Assign qualified drivers to charter and contract work using company scheduling and dispatch software. Ensure driver assignments comply with company policies, customer requirements, driver qualifications, and applicable USDOT Hours of Service regulations. Review upcoming work and anticipate potential driver availability, scheduling, or Hours of Service conflicts. Confirm schedules and essential trip details with assigned drivers approximately 24-48 hours prior to departure. Provide drivers with the information, tools, instructions, and resources necessary to complete assignments safely, efficiently, and professionally. Communicate schedule changes, customer requests, special instructions, and other operational information to drivers in a timely manner. Dispatch Administration — 30% Maintain accurate and current driver, vehicle, charter, and contract schedules. Keep required written and electronic reports, schedules, and operational records complete and up to date. Use company software systems to track driver and equipment assignments and availability. Record and maintain driver payroll hours in the company software system. Review dispatch information for accuracy and address discrepancies as needed. Provide responsive customer service and connect customers with Sales, Service, Accounting, or other departments when appropriate. Maintain records in accordance with company procedures and applicable regulatory requirements. Operational & Team Communication — 15% Serve as a central information resource between drivers, customers, Sales, Service, and other departments. Coordinate communication and response when operations deviate from the planned schedule, including short-notice bookings, driver changes, vehicle breakdowns, delays, scheduling errors, equipment malfunctions, and other operational disruptions. Gather relevant information, communicate changes to affected parties, and assist in developing workable solutions. Communicate operational questions, customer concerns, equipment issues, and scheduling conflicts with Sales and Service personnel. Maintain clear and professional communication during time-sensitive or stressful situations. Work collaboratively with other Operations team members to ensure continuity of service and effective handoffs between shifts or responsibilities. Compliance Support — 5% Assist with administration of the company's quarterly random drug and alcohol testing program. Support compliance with applicable company policies, USDOT regulations, and customer-specific requirements. Maintain appropriate confidentiality when working with driver, employee, and compliance-related information. Qualifications Strong organizational skills with the ability to manage multiple assignments and changing priorities. Excellent verbal and written communication skills. Strong attention to detail and commitment to accurate recordkeeping. Ability to make sound decisions in a fast-paced transportation environment. Ability to communicate professionally with customers, drivers, coworkers, and management. Comfortable learning and using dispatch, scheduling, payroll, and other business software. Ability to anticipate problems and take proactive action rather than waiting for issues to escalate. Ability to remain calm and organized when responding to delays, breakdowns, staffing shortages, or other operational disruptions. Ability to work both independently and collaboratively as part of an Operations team. Preferred Qualifications Previous experience in transportation, dispatch, logistics, scheduling, customer service, or operations. Familiarity with commercial passenger transportation or motorcoach operations. Knowledge of
USDOT/FMCSA
Hours of Service requirements and driver qualification requirements. Experience with transportation scheduling or dispatch software. Commercial Driver's License (CDL) or previous professional driving experience is beneficial but not required. Measures of Success Success in this position is demonstrated by: Accurate and compliant driver assignments. Drivers receiving complete and timely trip information. Charter details being confirmed before scheduled service. Accurate schedules, payroll records, and operational documentation. Early identification and resolution of scheduling or operational conflicts. Clear communication between Operations, drivers, customers, Sales, and Service. Effective response to unexpected operational situations. Consistent, professional customer and driver service.
