POSITION OVERVIEW
The Scheduling / Location Coordinator plays a central role in maintaining smooth operational workflows between homeowners, builders, municipal inspectors, and field crews. Sitting at the intersection of customer communication and logistics, this position manages high-volume warranty scheduling, tracks builder portal updates, conducts line-location utility calls, and coordinates municipal inspections. The ideal candidate is highly communicative, adept with technology, detail-oriented, and eager to learn cross-functional operational duties to support the team as workload demands shift.
KEY RESPONSIBILITIES
Warranty Scheduling & Communications:
Schedule and coordinate monthly warranty appointments directly with homeowners and builders. Serve as the primary point of contact for incoming telephone calls and central email inquiries, efficiently managing and responding to up to 100 emails per day while delivering exceptional customer service.
Builder & Municipal Coordination:
Access and continuously monitor third-party builder portals daily to review schedule updates, work orders, and project statuses. Schedule, track, and follow up on formal municipal inspections to ensure timely job sign-offs and regulatory compliance.
Utility Locating & Field Support:
Submit, track, and manage inspection calls/tickets (811 line locates) to identify and locate underground wires and utility lines prior to field work. Work closely with field crews to ensure site readiness and clear scheduling windows.
Team Cross-Training & Flexibility:
Actively participate in cross-training initiatives to learn and absorb additional office and operational duties as workload requires.
Administrative & Special Projects:
Maintain precise scheduling records, tracking logs, and reporting spreadsheets in Microsoft Excel.
SKILLS & QUALIFICATIONS
Work Experience:
1 to 3 years of hands-on experience in office administration, high-volume scheduling, customer service, or field dispatching. Experience in residential construction, homebuilding, utility locating, trades, or warranty coordination is preferred, but not required.
Software & Technical Skills:
Solid working proficiency in Microsoft Excel and standard office applications. Strong aptitude for learning specialized software quickly (hands-on training will be provided for proprietary builder portals and industry management systems).

High-Volume Multitasking:
Proven ability to manage large volumes of scheduling requests and high email traffic (up to 100 emails daily) with high accuracy and responsiveness.
Communication:
Clear, professional verbal phone etiquette and written email communication for interacting with homeowners, builders, and city inspectors.
Adaptability:
A proactive, team-oriented mindset with a willingness to cross-train and assist colleagues during busy periods.
Pay:
$50,000.00 - $55,000.00 per year
