careers@wildcatheavyhaul.com Position Overview The dispatcher is responsible for heavy haul project coordination and communication required to keep Wildcat Heavy Haul projects moving safely, efficiently, and on schedule. The position coordinates drivers and brokers with the Wildcat Project Manager from initial dispatch through final delivery. The Dispatcher maintains visibility of active loads, communicates ETAs and operational changes, manages competing schedules, and responds quickly when loading, traffic, equipment, weather, site access, or other conditions affect project execution. This is an operational position requiring ownership, judgement, organization, and proactive communication. The Dispatcher is expected to stay ahead of the operation rather than simply respond to it. Key Responsibilities
- Dispatch and coordinate drivers across active projects working directly with Wildcat PM.
- Maintain continuous visibility of loads from pickup through transit, site arrival, offload, and final completion.
- Communicate assignments, schedules, routes, site instructions, and operational changes to drivers.
- Provide clients and Project Managers ETAs, delivery status, delays notifications.
- Coordinate loading, staging, delivery, offloading, and equipment availability.
- Manage multiple drivers, trucks, and projects simultaneously while maintaining accurate operational records.
- Identify scheduling conflicts and potential delays early and take appropriate action to minimize disruption.
- Coordinate with Project Managers and Senior Operations Management where operational issues require escalation or additional support.
- Source and coordinate third-party carriers when additional capacity or specialized equipment.
- Obtain and communicate carrier availability, equipment capability, rates, and load requirements.
- Maintain dispatch logs, driver lists, trip documentation, utilization records, and project status information.
- Maintain professional communication with clients, drivers, site representatives, and internal teams.
- Resolve day-to-day operational issues to that keep freight moving. Qualifications & Skills
- Previous experience in dispatch, trucking, logistics, transportation, or project coordination preferred.
- Strong organizational skills with the ability to manage multiple loads, drivers, and changing priorities simultaneously.
- Excellent verbal and written communication skills.
- Confident communicating with drivers, clients, Project Managers, and site personnel.
- Demonstrated ability to take initiative, follow up, and obtain information without constant supervision.
- Strong problem-solving ability and sound judgement when operational plans change.
- Comfortable working in a fast-paced environment where priorities can change quickly.
- Competent with email, spreadsheets, Microsoft Office, and transportation or dispatch systems.
- Strong attention to detail and commitment to maintaining accurate operational records.
- Dependable, professional, accountable, and capable of maintaining composure under pressure.
