POSITION SUMMARY
The Operations Dispatcher is responsible for coordinating and scheduling equipment and project resources within ERWSS, serving as the primary dispatch point of contact with P.I. Consulting, and managing subcontractor equipment accountability. This role ensures job sites are staffed and equipped efficiently, communication between office and field runs smoothly, and equipment leaving company control is tracked and returned in acceptable condition. The ideal candidate is highly organized, comfortable managing multiple moving priorities in real time, and confident holding subcontractors accountable for equipment condition. This position includes, but is not limited to, the following key responsibilities.
KEY RESPONSIBILITIES
Project and Equipment Scheduling Coordinate daily and weekly scheduling of equipment, machinery, and crews across active job sites and divisions. Maintain an accurate, real-time equipment allocation schedule to prevent conflicts, downtime, or double-booking. Work with Project Managers and Superintendents to anticipate equipment and manpower needs based on project timelines. Track equipment location, availability, and maintenance status; coordinate with maintenance/fleet staff on service scheduling. Adjust schedules quickly in response to weather delays, breakdowns, or shifting project priorities. Maintain scheduling logs/records for reporting and historical reference. Dispatching and Coordination with P.I. Consulting Serve as the primary dispatch liaison with P.I. Consulting, coordinating job assignments, timing, and logistics. Relay job site requirements, changes, and priorities clearly and promptly between ERWSS and P.I. Track and confirm crew/equipment arrival, job progress, and completion status through P.I. coordination. Resolve day-to-day scheduling conflicts or miscommunications between ERWSS operations and P.I. dispatch. Maintain clear documentation of dispatch communications and job assignments. Subcontractor Equipment Accountability Coordinate equipment hand-off and return procedures with subcontractors to minimize damage risk. Establish and enforce a consistent equipment check-out/check-in process (condition documentation, photos, sign-off) for any equipment loaned or used by subcontractors. Inspect or coordinate inspection of returned equipment to identify damage promptly. Document damage incidents, determine responsible party, and initiate accountability/billback processes per company policy. Communicate equipment handling expectations and standards to subcontractors before deployment. Track recurring damage issues by subcontractor and report patterns to Operations leadership.
QUALIFICATIONS
2+ years of experience in dispatch, scheduling, construction operations, or fleet/equipment coordination (construction or landscaping industry preferred). Strong organizational skills with the ability to manage multiple schedules and priorities simultaneously. Clear, professional verbal and written communication skills for coordinating across internal teams, P.I. Consulting, and subcontractors. Comfortable having direct, sometimes difficult conversations regarding equipment damage and accountability. Working knowledge of construction/landscaping equipment types and basic condition assessment. Proficiency with scheduling or dispatch software, spreadsheets, and general office systems. Ability to work in a fast-paced environment with shifting daily priorities. Valid driver's license; ability to visit job sites as needed.
PHYSICAL/WORK ENVIRONMENT
Primarily office/dispatch-based with periodic travel to job sites across divisions. Some early morning or after-hours availability may be required to support field operations. Other Duties as assigned.
