GENERAL SUMMARY
The Facilities & Communications Manager works with direction from the Associate Director and in collaboration with agency leadership, coordinating facility operations, technology systems, vendor relationships, organizational communications, marketing initiatives, administrative systems, and organizational resources that support the daily operations of the agency. The position calls for the ability to work in a fast-paced and productive environment where organizational, planning, communication, and problem-solving skills are fully utilized. They will approach all tasks as a member of a team of equals, where decision-making authority rests with a group of team members who value feedback, collaboration, and shared leadership. The Facilities & Communications Manager must be able to work under pressure and successfully manage competing demands while maintaining complete confidentiality for survivors, colleagues, volunteers, board members, and the agency. Must have a demonstrated ability to foster professional relationships and possess knowledge of community resources.

  • Openness to learn and teach about trauma-informed services and survivor-centered approaches to working with victims of stalking, sexual and domestic violence.
  • Ability to address one's own privilege when working with diverse populations.
  • High comfort level working in a stressful environment, and the ability to self-motivate.
  • Excellent interpersonal skills and a collaborative work style when approaching colleagues, survivors, and community partners.
  • Proficiency in creating and editing documents and trainings using Word and Power Point and utilizing Outlook for electronic mail communications.
  • Imaginative big picture thinker who has the flexibility to think outside of the box, try new ideas and let go of those that are not bearing fruit.
  • Excellent verbal and written communication skills in an environment where clear and consistent communication is expected and required among all staff.
ESSENTIAL DUTIES & RESPONSIBILITIES

  • Backup Services Assistant and Human Resource & Finance Manager and other administrative support staff as assigned.
  • Attend meetings as assigned and prepare meeting notes and summaries.
  • In compliance with state and federal confidentiality guidelines, maintain the strictest level of confidentiality. Technology Support
  • Coordinate employee access to agency systems, communication platforms, technology resources, and organizational tools necessary to perform job responsibilities.
  • Coordinate user access and permissions for Google Workspace, Microsoft 365, EmpowerDB, Canva, Facebook, Instagram, and other approved agency systems.
  • Coordinate agency cell phone assignments, inventory, and related documentation.
  • Provide routine technical assistance and support to staff.
  • Ensure new employees have prepared equipment i.e., office computer, office telephone, cellphone, laptop, ear buds, Office 365 and Teams access, and technical assistance to properly set up their hardware and software on day one of their employment at Hope Shores.
  • Coordinate with contracted IT providers to resolve technology issues and support agency technology needs. Records and Asset Management
  • Maintain inventory records for agency equipment, technology devices, and assigned assets.
  • Coordinate technology and equipment recovery during employee offboarding.
  • Maintain records related to software licenses, subscriptions, warranties, and assigned technology assets. Facilities
  • Coordinate day-to-day facility operations to ensure agency offices remain safe, functional, and well maintained.
  • Coordinate maintenance requests and repairs for all agency facilities.
  • Coordinate vendor services including lawn care, snow removal, HVAC, fire inspections, carpet cleaning, maintenance, and other contracted services.
  • Maintain facility service schedules and documentation.
  • Coordinate routine safety inspections.
  • Coordinate annual inspections, preventive maintenance, and operational projects.
  • Coordinate office furniture, workstation setup, office moves, and facility logistics.
  • Prepare and maintain employee technology, telephones, system access, equipment, furniture, and workstation resources. The Services Assistant confirms workspace readiness and communicates unmet needs.
  • Assist with procurement and purchasing related to facility operations.
  • Communicate facility concerns, operational issues, and maintenance priorities to the Finance Director and assist with timely resolution.
  • Chair the Health and Safety Committee.
  • Assist in maintaining trauma-informed, welcoming, and inclusive office environments.
  • Provide cross-functional administrative support during periods of staff absence or increased operational need.
  • Maintain vendor files, service agreements, renewal schedules, and related documentation for agency operational contracts.
  • Develop, maintain, and improve administrative systems, procedures, and operational workflows that enhance organizational efficiency. Communications
  • Maintain agency website and complete content updates as assigned.
  • Coordinate development, formatting, design, and publication of the agency annual report, with service and outcome information supplied by program leaders and final approval by Executive Director.
  • Create and maintain agency feedback surveys.
  • Coordinate billboard, radio, print, and other advertising schedules.
  • Ensure organizational branding standards are maintained across all published print and electronic materials.
QUALIFICATIONS
  • While survivorship is not a requirement for employment with Hope Shores Alliance, we value the contributions survivors make in doing this work, and we celebrate our shared collaboration in the movement.
  • Demonstrated personal and professional integrity with the ability to lead through encouragement rather than authority.
  • Associate's or Bachelor's Degree in business administration or equivalent preferred; proven experience working as a leader or manager of processes in any field of work, with a preference to human services and non-profit experience.
  • Complete intra-agency domestic violence and sexual assault training within 30 days of hire.
  • Complete MCEDSV New Service Provider Training within 180 days.
  • Complete all additional required job-related training within 180 days.
  • Obtain or maintain Red Cross First Aid and CPR certification (provided by Hope Shores Alliance).
  • Valid driver's license, good driving record, and proof of insurance.
  • Successful completion of Criminal History, Child Abuse and Neglect Central Registry, and State and National Sex Offender Registry background checks.
  • Strong communication skills and comfort engaging in challenging conversations with diverse stakeholders.
