Job Description

OVERVIEW
The Senior Facilities Coordinator is responsible for independently managing Cavender's day-to-day facility service requests and maintenance activities across all retail locations. Using ServiceNow as the primary ticketing system, this role ensures maintenance issues are appropriately prioritized, assigned, tracked, and resolved. The Senior Facilities Coordinator serves as a key escalation point for complex or recurring service issues, partners closely with store managers and service vendors, and supports the Facilities/Construction team in maintaining safe, functional, and customer-ready store environments. The ideal candidate is highly organized, detail-oriented, proactive, and able to exercise sound judgment while managing multiple priorities and vendor relationships.
DUTIES AND RESPONSIBILITIES
  • Support the "Cavender's Culture" and drive our Mission, Vision, and Values
  • Independently manage incoming ServiceNow facility tickets, including reviewing, prioritizing, assigning, tracking, and driving requests through resolution.
  • Coordinate with approved vendors to schedule maintenance and repair work for HVAC, electrical, plumbing, lighting, signage, and other facility needs, ensuring timely and cost-effective service.
  • Serve as a key point of contact for store managers regarding facility service requests, escalations, updates, and timelines for resolution.
  • Ensure timely closure of tickets in ServiceNow with complete and accurate documentation of work performed and resolution details.
  • Analyze recurring issues, service trends, and high-priority concerns; recommend corrective or preventative actions and escalate significant risks to the Facilities Maintenance Manager as needed.
  • Monitor vendor performance and service quality, maintain strong vendor relationships, and identify opportunities to improve response times, service levels, and cost-effectiveness.
  • Review vendor invoices for accuracy prior to approval and maintain accurate service, vendor, and maintenance records.
  • Coordinate preventative maintenance activities and schedules to support compliance with Cavender's standards and reduce avoidable service disruptions.
  • Prepare and provide regular reporting on ServiceNow ticket metrics, response times, completion rates, recurring issues, and vendor performance.
  • Lead or support facilities projects, remodels, upgrades, and process improvements as assigned, coordinating stakeholders and follow-up through completion.
  • Provide guidance and day-to-day support to facilities team members on processes, vendor coordination, and issue resolution as needed.
QUALIFICATIONS AND REQUIREMENTS
  • Associate's or Bachelor's degree in Business, Facilities Management, or related field preferred; equivalent experience considered.
  • 4+ years of experience in facilities coordination, maintenance support, vendor management, or a related field.
  • Experience using ServiceNow or a similar ticketing/work order management system.
  • Demonstrated ability to independently prioritize and manage multiple facility requests, escalations, and competing deadlines.
  • Strong communication, relationship-building, and vendor management skills.
  • Working knowledge of building systems, including HVAC, plumbing, electrical, and retail facility operations.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Based in Tyler, TX at Cavender's Home Office; occasional travel may be required.
PREFERRED SKILLS
  • Background in retail or multi-site facility management.
  • Experience with preventative maintenance planning, vendor compliance, and service-level performance.
  • Experience supporting or leading facilities projects, remodels, upgrades, or process improvements.
  • Strong analytical and problem-solving skills with a high level of attention to detail.
