Hybrid/Remote SUMMARY Responsible for supporting the mission of Communities In Schools of Appalachian Highlands (CIS-AH) through effective grant administration, documentation, compliance support, data management, and reporting.
SUMMARY OF DUTIES AND RESPONSIBILITIES OF DEVELOPMENT COORDINATOR
Reporting to and directed by the Director of Development, Major Grants, the Development Coordinator will provide administrative support to the CIS-AH Development Team with primary focus on Major Grants with federal/state compliance requirements. The position will assist with the day-to-day work necessary to advance fundraising and development priorities, acting as key support resource to the Director of Development, Major Grants, taking direction on priorities and assisting with tasks, projects, research, or administrative needs necessary. The scope of the position may evolve based on organizational priorities and the needs of the development department. This position requires exceptional organizational skills, attention to detail, discretion, initiative, strong communication abilities, and the ability to manage multiple priorities and deadlines in a dynamic, mission-driven environment. The successful candidate must be dependable, responsive, resourceful, and comfortable taking direction while also anticipating and responding to the needs of their supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES OF DEVELOPMENT COORDINATOR
Development & Director Support
Provide direct administrative and organizational support to the Director of Development, Major Grants
Assist with projects, assignments, research, and day-to-day priorities identified by the Director.
Track deadlines, follow-up items, proposals, reports, donor commitments, and other information as requested by the Director.
Gather and organize information, data, stories, program details, and other materials needed for proposals, donor communications, reports, and presentations.
Maintain organized development files, records, correspondence, and supporting documentation.
Federal & State Grant Administration, Compliance & Financial Support 1
Provide administrative support for state and federal grants across funded program sites, including maintaining required documentation, guidance, templates, forms, and reporting resources.
Assist with collecting, reviewing, organizing, and maintaining program and fiscal documentation to support continuation applications, annual reports, grant amendments, reimbursements, monitoring visits, audits, and other compliance activities.
Assist with compiling financial documentation, reconciling expenditures to approved budgets and budget categories, and preparing reimbursement requests.
Review documentation for completeness and consistency and identify outstanding or missing information requiring follow-up.
Assist with preparing materials for grant monitoring visits, audits, program reviews, and other compliance activities.
Monitor grant-related deadlines and requirements and bring upcoming deadlines, outstanding documentation, or potential issues to the attention of the appropriate staff.
ADDITIONAL DUTIES ASSIGNED TO ALL EMPLOYEES
Fund Development
Assist with fund development. Activities may include, but are not limited to: ○ Participating in donor cultivation and solicitation activities in support of donor development, including by phone, email or mail ○ Support fundraising events by attending, assisting as required and positively representing the organization. Program Support
Represent the organization positively in public at all times by acting as a professional representative and ambassador
Support the mission and goals of the organization across all programs and departments Administration
Maintain accountability to administrative systems and procedures, including submitting expense reimbursements, invoices, reports, etc. by the deadlines assigned
Submit content as requested for use in a variety of media outlets and grant applications
Participate actively in staff meetings and Board meetings when requested Professional Development
Attend CIS-AH meetings and trainings as appropriate
Find other low-cost opportunities for professional development and training Confidentiality

QUALIFICATIONS OF SUCCESSFUL CANDIDATES

Experience with 21st CCLC, TANF, or other state or federally funded programs is preferred but not required.
Experienced non-profit professional with administrative coordination, grant administration, program reporting, data management, or related work preferred.
Ability to maintain confidentiality and exercise discretion when working with sensitive student, family, personnel, and financial information.
Familiarity with nonprofit organizations, school-based programming, federally or state-funded programs, or community-based services preferred.
Ability to communicate professionally with program staff, school personnel, community partners, leadership, and external agencies.
Strong written and verbal communication skills.
Highly organized and detail-oriented, with the ability to maintain accurate records and documentation.
Experience collecting, organizing, reviewing, and tracking data and supporting documentation.
Proactive - able to anticipate arising needs and take ownership of activities
Ability to interpret instructions, reporting requirements, policies, and procedures and apply them consistently.
Able to track and juggle multiple projects at a given time
Work as part of a team and show professionalism
Demonstrate the attributes and qualities of a positive role model
Familiarity with community and school-based services within a determined region
Experience with tracking and analyzing data
Excellent computer skills EDUCATION and/or
EXPERIENCE
Bachelor's degree or demonstrated relevant equivalent experience. Must have a valid driver's license and automobile insurance. SALARY and
BENEFITS
$45,000 + annually - commensurate with experience. The Grant Administrator Coordinator is eligible to receive CIS-AH's full range of benefits as outlined in the Employee Handbook.
