DESCRIPTION
The Office & Inventory Coordinator is responsible for managing inventory control, company assets, facility coordination, and office operational support to ensure the efficient day-to-day functioning of the local office and warehouse environment. This role maintains inventory accuracy, oversees asset and vehicle tracking, coordinates facility maintenance and office services, and ensures supplies and resources are readily available to support employees and project teams. The position works closely with Project Management, Shop Technicians, Accounting, Field Operations, and local office staff to promote operational efficiency, asset accountability, and a safe, well-maintained workplace.
RESPONSIBILITIES INVENTORY & MATERIALS MANAGEMENT
Maintain accurate inventory records through routine cycle counts, audits, and system updates. Manage inventory replenishment by monitoring established minimum and maximum stock levels. Evaluate and process surplus project materials for return to inventory, reassignment, or disposal. Transfer inventory material costs to projects at the request of Project Teams.
ASSET & EQUIPMENT MANAGEMENT
Maintain records for company tools, equipment, and assigned assets, including tracking location, availability, condition, and maintenance requirements. Serve as the Vehicle Point of Contact (VPOC) for company vehicles assigned to the local office, including record maintenance and coordination of service requirements.
FACILITIES & OFFICE OPERATIONS
Coordinate facility maintenance and repair requests, including creating and tracking service tickets. Support office operations through ordering and restocking office supplies. Maintain adequate inventory levels of shipping/receiving supplies. Assist with workplace organization and facility readiness to support employees and visitors. Answer office phones and direct phone calls to correct parties Coordinate employee business card and nameplate requests. Manage employee apparel ordering and distribution. Support office meetings and employee events through meal ordering and coordination. GENERAL Maintain the standards, culture and values of CML Security Other duties as assigned
QUALIFICATIONS AND SKILLS
High school diploma or GED required 1+ years of experience in warehouse, inventory, logistics, shipping/receiving, construction support, retail inventory, or related experience preferred. Strong skills in MS office, Word, Excel, Outlook, etc. Ability to accurately count, track, and organize materials and assets. Strong attention to detail and organizational skills. Ability to prioritize tasks and manage multiple responsibilities Ability to work independently and collaborate with project teams, field personnel, and shop staff. Effective verbal and written communication skills. Forklift Certification OSHA-10 certification
SUPERVISION
This position reports directly to the Purchasing & Logistics Manager and is responsible for supporting inventory control, asset management, facility coordination, and office operations within the local office and warehouse environment. The Office & Inventory Coordinator works closely with Project Management, Shop Technicians, Accounting, Field Operations, and office personnel to ensure operational efficiency, inventory accuracy, asset accountability, and effective workplace support.
WORK ENVIRONMENT
The Office & Inventory Coordinator works in a combined office, warehouse, and shop environment, providing administrative and operational support for inventory, assets, facilities, and office functions. The role requires regular interaction with employees, vendors, Project Management, Accounting, Field Operations, and Shop personnel, as well as occasional lifting and handling of inventory, supplies, tools, and equipment in accordance with company safety procedures.
