Overview:

We are looking for a detail-oriented, highly organized Inventory Coordinator to manage the full lifecycle of commercial truck inventory—from procurement through receiving, tracking, and pre-delivery readiness. This role ensures asset integrity in our inventory systems, oversees physical unit logistics across multiple locations, and supports departments with inventory-related administrative functions. This is a high-impact position interfacing with Sales, Service, and Executive Management.

Key Responsibilities:

Purchasing & Procurement Support Coordinate with leadership to forecast orders and reserve production slots with suppliers. Issue SPOs to OEMs and input specs received from distributors. Manage asset records in

Karmak:

assigning tracking numbers, updating characteristics, and managing parent/child units. Prepare and format asset documentation, including adding signature blocks and placards. Inbound Inventory & Receiving Update lot locations across Portsmouth, Ballard, and Manassas yards. Track incoming units, process LPOs for PDI, washes, and build-outs. Tag and organize vehicle keys using KEYper box and manage unit key inventory. Log and report vehicle arrivals to Sales and assign warranty bags and documentation. Post-Arrival Management Maintain weekly Open LPO reports and coordinate with Service on unit readiness. Manage vehicle rotation calendar to ensure lot units are exercised and inspected every 30 days. Initiate issue resolution via Service LPOs as needed. Maintain accurate tracking and documentation in Karmak, including check-in/out reports and photo verification. Pre-Delivery Support Oversee sales team's pre-delivery checklist completion. Verify mileage, warranty documents, and scale tickets. Prepare all units with proper certification and documentation prior to final delivery.

Qualifications:

Prior experience in inventory coordination or fleet logistics preferred. Proficiency in ERP/Inventory systems (experience with Karmak is a strong plus). High attention to detail and multitasking ability in a fast-paced environment. Effective communication and follow-through with cross-functional teams. Strong Microsoft Outlook and Excel skills.
