Interim Studio Manager Description:
Position Summary This is a temporary, on-site, and full-time (Monday-Friday and weekends in November for the fundraiser) position from September 8th 2026 - January 8th 2027. The Interim Studio Manager manages the procurement of workshop supplies,anization, and preparation of materials for studio workshops. These responsibilities continue till the last workshop in October.18 This role works closely with the Studio Director, Studio Assistant and instructors to ensure that workshops are properly supplied, instructor reimbursements are processed accurately. This role also supports annual program planning, budgeting supply fees for 2027 workshops, and creating overview forms and uploading them to our workshop scheduling database. As well as support the transformation of the studios into galleries for the fundraiser in November and support the needs of the sale which include restocking,and sales transactions. Key Responsibilities Purchasing & Inventory Management (Sept-October 18) Use the Supply Purchase Sheet to track purchasing, registrations, and material orders for uing workshops. Coordinate purchasing schedules to ensure materials arrive one to two weeks before the start of each class. Work with the Studio Director and Studio Assistant toanize, stage, and distribute materials in the appropriate studios. Assist with maintaining studio equipment and ensuring studios are clean,anized, and ready for instruction. Instructor Coordination Communicate with instructors to confirm previously listed material needs, purchasing requirements, and reimbursement procedures. Build and maintain positive working relationships with returning instructors by referencing previous class information and historical supply data. Process instructor reimbursements using the appropriate studio accounting codes and follow up on missing reimbursement forms as needed. Supply Planning & Budget Management (assist with finishing 2027 workshops) Develop and manage annual supply fee budgets for studio classes and workshops. Review instructor supply needs and determine appropriate payment structures, including reimbursements, kit fees, and student-purchased materials. Maintain accurate records of supply budgets and purchasing. Ensure all classes requiring student-purchased silver or specialty materials are documented in the master program spreadsheet. Verify that classes with kit fees include appropriate kit fee statements in public-facing class descriptions. Program Administration (November-December) Create overview forms for all studio classes after annual scheduling and instructor contracts are finalized. Edit and maintain overview forms for 2027 using established formatting standards. Ensure class documentation isplete, accurate, and consistent across all programs. Prepare and update kit fee statements and supply information for inclusion in course descriptions. Create clear descriptions explaining what is included in supply fees and what materials students are responsible for providing. Ensure required and rmended materials are accuratelymunicated in all class documentation. Seconds Sale Support (October 19 - November) Coordinate studio setup for the annual Seconds Sale, includinganizing studio layouts according to established plans. Restock shelves with new inventory, track broken inventory using established systems Be familiar with artists represented in the gallery Facilitate sales with Ricochet, our current POS system Compensation Hourly rate of $26/hour. Benefits include one week paid vacation at the end of December, 4 paid holidays, sick time accrual, $500 of health care reimbursement; and free home-cooked lunches (when dining room is open).
Qualifications:
Stronganizational and project management skills. Excellent written and verbalmunication skills. Ability to coordinate multiple projects and deadlines simultaneously. Proficiency with spreadsheets and record-keeping systems. Attention to detail andmitment to accuracy. Ability to work independently while supporting a collaborative studio environment. Experience in arts administration, studio management, educational programming, or inventory coordination. Familiarity with budgeting, purchasing, and reimbursement processes. Knowledge of visual arts materials and craft techniques is preferred.
