DIRECTOR OF OPERATIONS
Design Identity Group (DIG) Aliso Viejo, California Full-Time | In-Office 4 Days per Week + Occasional Fridays About Design Identity Group Design Identity Group is a multifamily and hospitality-focused interior design firm that approaches design through both a creative and business lens. We work with ownership groups, developers, operators and institutional clients nationwide to reposition properties, enhance the resident experience and create meaningful value through thoughtful design. We are a fast-moving, highly collaborative firm where accountability, organization and execution matter just as much as creativity. Position Overview Design Identity Group is seeking a highly organized, proactive and business-minded Director of Operations to oversee the operational infrastructure of the company. This is a leadership role responsible for keeping the business organized, accountable and moving forward. The Director of Operations will work closely with the Principal while overseeing administrative operations, financial processes, human resources, recruiting, marketing coordination, business development, procurement and project accountability. The ideal candidate understands that strong operations allow creative teams to perform at their best. About You You are extremely detail-oriented and have an accounting mindset combined with strong people skills . You understand numbers, deadlines, processes and accountability—but you also know how to communicate with people in a way that builds trust. Your leadership allows a team to operate and function with ease because they trust your guidance, organization and follow-through . You anticipate what needs to happen before being asked, identify gaps in processes and take ownership of finding solutions. Key ResponsibilitiesOperations & Administration Manage day-to-day administrative duties and operational support functions. Oversee billing, accounts receivable, office supplies and vendor coordination. Manage property-management and landlord-related communication for the office. Develop and maintain company operational procedures and internal systems. Create a centralized resource for company trainings, handbooks, employee guides, policies and procedures. Identify opportunities to improve efficiency, accountability and workflow throughout the organization. Financial Oversight Review company financials and operational performance with the Principal. Oversee invoicing and accounts receivable. Track outstanding invoices and lead collection efforts for late payments. Maintain visibility into cash flow, project billing and operational expenses. Bring an accounting-oriented mindset to operational decisions and company planning. Human Resources & Recruiting Manage Human Resources in coordination with Bambee . Oversee recruiting efforts from job posting through candidate screening, interviewing and onboarding. Maintain employee documentation, policies, training materials and company handbooks. Support employee onboarding, performance-management processes and internal communication. Help establish a culture of accountability, professionalism and clear expectations. Project & Design Operations Oversee design deadlines and maintain visibility into project progress. Track team deliverables and accountability through Basecamp. Create supplemental trackers outside of Basecamp when needed to provide leadership with clear visibility into deadlines and workload. Identify schedule risks before deadlines are missed. Coordinate with design leadership to ensure projects remain organized and moving forward. Procurement & Installations Oversee the procurement team's operational processes. Monitor procurement tracking, purchasing progress, lead times and delivery schedules. Oversee operational execution and coordination of installations. Ensure procurement information is organized, accurate and communicated appropriately across teams. Marketing & Social Media Oversee marketing and social-media initiatives. Establish a consistent marketing cadence with the team member or outside resource assigned to marketing responsibilities. Maintain accountability for content calendars, project photography, case studies, social posts and other marketing initiatives. Ensure DIG's brand and messaging remain consistent across platforms. Business Development Support new-business-development initiatives alongside the Principal. Prepare, coordinate and send proposals to prospective clients. Maintain follow-up with prospects and existing client relationships. Proactively reach out to prospective clients and business-development contacts. Work with the Principal to develop and execute a strategic business-development plan. Maintain visibility into the proposal pipeline and follow-up activity. Key Performance Indicators (KPIs) Success in this role will be measured through: Timely and accurate invoicing. Reduction in outstanding accounts receivable and late payments. Consistent financial and operational reporting. Design-project deadlines tracked and proactively managed. Procurement schedules and installations executed efficiently. Recruiting and onboarding completed within established timelines. Employee resources, policies and training materials maintained and accessible. Consistent execution of the established marketing cadence. Business-development pipeline and proposal follow-up consistently maintained. Operational issues identified and resolved proactively. Increased accountability and visibility across departments. Schedule & Location This is primarily an in-office leadership position based in Aliso Viejo, California . The standard schedule is four days per week in the office , with occasional Fridays in the office based on business needs, project deadlines, installations or meetings. This position requires someone who enjoys being actively involved in the day-to-day operations of a growing creative business and who can balance structure, accountability and strong interpersonal leadership.
Pay:
$90,000.00 - $126,046.95 per year
