Job Description

Advanced Personnel Resources is seeking a motivated Operations Administrator for a new opportunity with our client in Greensboro. The Operations Administrator will be responsible for supporting day-to-day operational, inventory, logistics, purchasing, and administrative activities. This role coordinates with customers, warehouses, suppliers, transportation providers, and internal teams to ensure accurate inventory management, timely shipment execution, efficient order processing, and accurate financial documentation. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining a high level of accuracy and professionalism. Key Responsibilities Operations & Inventory Management Manage inventory activities, including maintaining perpetual inventory records, processing inventory movements and additions, and ensuring accurate inventory reporting. Monitor consignment and warehouse inventory through customer reports, inventory spreadsheets, ERP records, and related tracking systems. Reconcile warehouse inventory balances on a monthly basis and investigate and resolve discrepancies. Coordinate warehouse releases for incoming and outgoing materials and maintain accurate supporting records. Communicate with warehouses regarding upcoming inbound shipments to support timely receipt and effective inventory planning. Monitor shipment activity and coordinate with warehouses and transportation providers to ensure materials move efficiently and within required timelines. Order & Shipment Administration Process customer orders by updating inventory records, verifying credit coverage, coordinating releases, assigning transportation providers, and maintaining accurate order documentation. Prepare and issue Advance Shipping Notices (ASNs), warehouse releases, and other shipment-related documentation. Monitor shipments and communicate with customers, warehouses, and carriers regarding shipment status and delivery requirements. Confirm customer satisfaction following delivery and ensure completed orders are properly submitted for invoicing. Monitor inbound shipments and coordinate timely movement of materials before free-time expiration to minimize storage, demurrage, and other avoidable charges. Purchasing & Supplier Coordination Create, issue, and maintain purchase orders and related documentation. Distribute purchase orders to suppliers and maintain accurate purchasing and tracking records. Communicate with suppliers regarding orders, shipments, documentation, and delivery requirements. Maintain purchase order and supplier tracking spreadsheets and ensure records remain current and accurate. Transportation & Logistics Source and coordinate transportation providers to support operational and customer requirements. Evaluate potential carriers and obtain competitive freight quotes. Negotiate transportation rates and rate increases as appropriate. Maintain accurate carrier records, rate information, and freight reporting. Coordinate transportation activities with warehouses, carriers, suppliers, and customers to ensure timely and cost-effective movement of materials. Accounts Payable & Financial Administration Review, approve, and properly code accounts payable invoices. Verify invoice accuracy and investigate and resolve discrepancies as needed. Maintain accurate freight rate and cost-related reports. Support accurate and timely documentation required for customer invoicing and other financial processes. General Administrative Support Maintain organized and accurate operational records, spreadsheets, reports, and documentation. Utilize ERP and Microsoft Office systems to support daily operational activities. Communicate effectively with internal and external stakeholders and maintain positive professional relationships. Perform additional operational, logistics, purchasing, and administrative duties as assigned. Qualifications Advanced proficiency in Microsoft Excel and strong working knowledge of Microsoft Office Suite. Experience with Sage 100 or a comparable ERP system preferred. Strong verbal and written communication skills. Excellent organizational and time-management skills with exceptional attention to detail. Strong analytical and problem-solving abilities. Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment. Solid understanding of administrative, clerical, inventory, and operational procedures. Ability to establish and maintain positive professional relationships with customers, suppliers, carriers, warehouses, and internal teams. Associate or bachelor's degree preferred, but not required. Approximately five years of experience in a similar operations, logistics, inventory, purchasing, or administrative role preferred, but not required. #IR1

$20.00 - $23.00 per hour
