Job Description

Job Summary

Coordination of operational support for deployed personnel and management of all operational travel in coordination with leadership and customers.

Requirements

Essential Duties and Responsibilities

  • Coordinate deployment travel and deployment support functions
  • Conduct out briefs and debriefs of deployed personnel for enhancement of future deployments and documentation to read files
  • Maintain roll up deployment schedule for all personnel to multiple locations
  • Maintain tracker of travel documents, visas, expiration dates of training and checklist requirements per assigned locations, in reference to Board Members and Customers
  • Coordinate and manage all deployed personnel travel submissions, multi department Customers (Internal and External) until travel is concurred
  • Coordinate with Operations Management timeline and schedule personnel for required briefings and out processes
  • Manage Vendor visitor badge requests, per DOE guidelines and requirements, to include annual employee renewal for NNSS access. Primary POC with DOE Visit Control relationship
  • Direct and assist training manager to coordinate deployment specific training to maintain currencies
  • Coordinate with Leadership, scheduling and site lead identification
  • Create, implement and coordinate SOP's for deployed locations as they vary requirements and maintain checklists for each location to have a departmental baseline for cross training purposes
  • Set up legal briefings required for travel to locations
  • Maintain briefings on tracker to make sure personnel maintains currency
  • Coordinate and track and maintain multiple calendars for appointments, briefings in support of operational objectives in multiple systems
  • Manage and coordinate travel to our office for our BoD partners and vendors
  • Manage sensitive casualty plan and certification for deployed personnel to include communication with customer follow up and updates
  • Manage sensitive isolated plan and certification for deployed personnel to include communication with customer follow up and updates
  • Support deployed personnel 24/7 in multiple times zones and locations
  • Strong communicator, pro-active information sharing, input and feedback
  • Self-starter, able to engage to take on tasks independently without supervisor or acknowledgement
  • Detailed oriented, strong listener and collection of travel information from the field to add in the read-files as needed
  • Contribute to continued development and improvement of OSS department
  • Maintain focus on Customer Service
  • Additional duties as assigned in reference to Board Members and Customers - Confidential and Proprietary responsibilities bound to agreement.
