Position Summary:
The Clinical Operations Manager is responsible for overseeing the daily administrative operations of the office, ensuring efficient workflow, maintaining office systems, and supporting staff and management. The role involves coordinating office activities, managing supplies and facilities, supervising administrative staff, and ensuring compliance with company policies and procedures. Will monitor and maintain clinical staff credentials and enrollment in Medicaid and Medicare for compliance and billing purposes
Essential Accountabilities:
Supervise Office Managers, Administrative Assistants, Receptionists, and support staff across all ARS programs to ensure consistent administrative practices, efficient daily operations, and high-quality service delivery. Provide front-desk coverage as needed and ensure adequate staffing of reception areas during program operating hours. Oversee Department of Labor (DOL) volunteers by assigning tasks, monitoring daily activities, and ensuring responsibilities are completed in accordance with program requirements and agency standards. Manage office supply inventory and procurement processes to maintain uninterrupted operations. Assist with the recruitment, onboarding, orientation, and training of office personnel. Coordinate new employee onboarding activities, including IT access requests, identification badges, electronic health record (EHR) setup, National Provider Identifier (NPI) registration, and Medicaid/Medicare enrollment applications. Prepare and submit discharge documentation to the Records Department in a timely and accurate manner. Manage OASAS and county reporting requirements, ensuring compliance with all applicable regulations and deadlines. Monitor patient records to ensure timely closure and accuracy within both the EHR system and OASAS databases. Enter, review, and post daily staff schedules for billing purposes, ensuring accuracy and timely completion. Collaborate with the billing department to support timely claim submission and maximize reimbursement opportunities. Monitor completion of required monthly reports, including safety reports, contract compliance documentation, OASAS reports, and fire drill records. Submit medication prior authorization requests through CoverMyMeds as needed and track follow-up activities to ensure timely approval. Manage New York State Prescription Monitoring Program (PMP) responsibilities for the clinic division. Coordinate facility-related concerns and maintain a professional, organized, and welcoming office environment. Monitor and track administrative projects, compliance requirements, and operational priorities to ensure timely completion and adherence to agency standards. Maintain knowledge of agency policies, procedures, and regulatory requirements related to documentation, reporting, billing, safety, and confidentiality. Oversee and maintain staff credentialing, licensure, and enrollment with Medicaid and Medicare across the Clinic, ACT, CFTSS, and PROS programs. Support clinical staff in preparing and submitting accurate applications, track application progress, ensure regulatory and organizational compliance, and report outcomes to the Billing Department and Vice President of Clinical Services. Bachelor's degree in Human Services needed, and proficiency in computer operations. Notary republic authorization needed.
