Job Description

Administrative Operations Manager We are seeking an experienced, highly capable Administrative Operations Manager to oversee the administrative side of our business. This is a key leadership position responsible for managing staff, maintaining exceptional customer and vendor relationships, overseeing communications, and helping ensure the company's day-to-day operations run smoothly. This is a high-accountability position for someone who is organized, confident, professional, and comfortable making decisions. We are a fast-paced, high-volume business, and the priorities of each day can change quickly. We are looking for someone who can assess what needs attention, make sound decisions, direct staff appropriately, and take ownership of getting things handled. Responsibilities The Administrative Operations Manager will: Manage and provide day-to-day direction to four or more administrative employees Oversee company communications by phone, email, and in person Maintain a consistently professional and helpful experience for our customers Handle difficult, frustrated, and occasionally angry customers with confidence, patience, and professionalism Build and maintain strong long-term customer relationships Manage and maintain vendor relationships Oversee shipping and receiving operations Prioritize and distribute work among administrative staff based on the needs of the business Identify problems and make appropriate decisions without requiring constant direction Coordinate with the repair/technical side of the company to keep work moving efficiently Maintain accurate business records and administrative systems Work extensively with QuickBooks Online and spreadsheets Follow through on commitments and ensure important details do not fall through the cracks Take ownership of problems through resolution rather than simply passing them along What We're Looking For Exceptional communication ability is essential for this position. The right candidate must be extremely proficient in professional communication , whether speaking with a customer on the phone, composing an email, communicating face-to-face, or directing employees. We are specifically looking for someone who: Has excellent written and verbal communication skills Is exceptionally comfortable communicating by phone Can professionally de-escalate difficult or angry customers Has experience managing and directing four or more employees at a time Is confident making independent decisions Can quickly adjust priorities when circumstances change Can manage several issues simultaneously without becoming disorganized Has strong attention to detail and follow-through Understands the importance of accountability in a management position Is comfortable taking responsibility for both decisions and outcomes Has strong organizational and problem-solving skills Can develop positive, professional relationships with customers and vendors Is proficient with QuickBooks Online Is proficient with spreadsheets Is comfortable learning and working with additional business systems and technology The Person Who Will Succeed Here This position is best suited for someone who doesn't need every situation to have a predetermined answer. We are a fast-paced, high-volume business. Some days are predictable; others are not. A shipment may have an issue, an important customer may need immediate attention, an employee may need direction, or several priorities may change at once. We need someone who can look at the situation, determine what is most important, make a reasonable decision, communicate clearly, and keep the team moving. Good judgment, professionalism, accountability, and follow-through are as important to us as experience.
