We are seeking an experienced and proactive Purchasing Manager to lead the Club's purchasing and inventory operations at a premier luxury private country club. This position is responsible for overseeing the procurement, receipt, storage, and distribution of products and supplies that support all Club departments, with a primary focus on Food & Beverage operations. The Purchasing Manager partners closely with the executive leadership team and department managers to develop purchasing strategies, maintain optimal inventory levels, ensure product quality, and achieve cost-effective purchasing practices.
Key Responsibilities:
Oversee all purchasing activities for the Club, ensuring timely procurement of food, beverages, operating supplies, and other materials required by all departments. Develop and maintain strong relationships with vendors while negotiating pricing, service levels, product quality, and delivery schedules. Collaborate with the leadership team and department managers to forecast purchasing needs, control costs, and support operational objectives. Monitor inventory levels across all departments to ensure appropriate stock while minimizing waste and excess inventory. Review purchase orders, invoices, and inventory reports to ensure accuracy and compliance with established purchasing procedures. Analyze purchasing trends, pricing fluctuations, and vendor performance to identify cost-saving opportunities and operational improvements. Receive, inspect, and verify deliveries as needed, ensuring products meet quality standards and purchase order specifications. Assist with unloading deliveries and storing products in the appropriate locations when operational needs require additional support. Ensure all storage areas, coolers, freezers, and receiving spaces remain clean, organized, secure, and compliant with food safety standards. Resolve vendor discrepancies, shortages, damaged goods, invoice issues, and delivery concerns in a timely manner. Coordinate and participate in routine physical inventory counts and inventory reconciliations. Maintain accurate purchasing records, receiving documentation, inventory reports, and vendor files. Ensure compliance with health, safety, sanitation, and company policies related to receiving, storage, and inventory management. Support budgeting initiatives by monitoring purchasing expenses, identifying trends, and recommending cost-control measures. Assist with special projects, operational initiatives, and strategic purchasing programs as directed by senior leadership. Maintain a professional appearance and foster a culture of teamwork, accountability, and exceptional internal customer service. Perform other duties as assigned to support the successful operation of the Club. Skills Previous purchasing, procurement, or inventory management experience required; experience in Food & Beverage, hospitality, or country club operations strongly preferred. Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment. Strong knowledge of purchasing practices, inventory management, vendor negotiations, and cost control. Excellent organizational, analytical, and problem-solving skills with strong attention to detail. Ability to build productive relationships with vendors, department leaders, and executive leadership. Experience using purchasing, inventory, and accounting software; proficiency in Microsoft Office required. This is a physically active position that requires the ability to safely lift, carry, push, and pull 50 pounds or more on a regular basis, as well as stand, walk, bend, and unload deliveries throughout the workday.
