The Community School Collaborative is hiring a part-time Operations Coordinator (30 hours/week) to help bring our programs to life for middle school students across Park County. This is a hands-on role for someone who wants to handle both the organizing and administrative part and enjoys actively supporting programming. You will not only keep administrative systems running behind the scenes, you will also be part of the programs themselves, supporting students, volunteers, and partners in real time. Pay:
$20-23/hour

Section II:
Description of Duties Performed General Summary of Duties Performed The Operations Coordinator plays a central role in supporting both the internal operations and the delivery of CSC programs. This position ensures that the organization runs smoothly behind the scenes while also actively supporting programs on the ground. This is a hands-on, highly engaged role that combines administrative coordination, communications, and program support. The Operations Coordinator works closely with the Executive Director and Program Director to maintain strong systems, support students and volunteers, and ensure high-quality program experiences. Primary Job Duties and Responsibilities 1. Program & Event Support Provide hands-on support for CSC programs, including Cougar Career Days, Pop-Up Clubs, Job Shadows, and other student experiences Actively support students, volunteers, and staff during programs and events Assist with preparation and execution of programming across Park County Support coordination of career exploration opportunities in rural schools outside of Livingston Help ensure continuity of programming when staff are unavailable or plans shift Capture and organize student experiences, highlights, and program outcomes 2. Operations & Administration Manage accounts payable and receivable, including coding and maintaining organized digital records Maintain accurate data entry across systems, including donations, in-kind contributions, volunteer hours, and program data Support grant tracking by maintaining organized records and ensuring required data is collected Coordinate volunteer logistics, including communication, tracking, and appreciation efforts Manage incoming mail and general administrative workflows Maintain and improve internal systems, including donor databases and communication platforms Ensure accuracy, organization, and accessibility of organizational records 3. Communications & Outreach Manage and execute CSC's communications, including social media and monthly newsletters Develop and publish content that highlights programs, students, and community impact Organize and maintain photo and video assets Implement marketing and outreach efforts that increase awareness, engagement, and participation Assist with website updates and content organization Support development of materials for both program visibility and fundraising 4. Fundraising & Organizational Support Provide administrative support for fundraising efforts, including donor tracking and gift processing Assist with implementation of fundraising initiatives such as mail appeals and donor communications Support preparation and execution of CSC fundraising events Maintain organized records of donor engagement and contributions 5. Other Duties Take initiative on projects that strengthen organizational effectiveness and visibility Perform other duties as assigned
Required Qualifications:
Knowledge, Skills and Abilities Experience Experience in administrative coordination, communications, program support, or nonprofit work preferred Knowledge, Skills and Abilities Strong organizational skills and exceptional attention to detail High level of reliability and follow-through Ability to manage multiple priorities and systems with accuracy Strong written communication skills and visual design sensibility Proficiency with spreadsheets and data systems (Excel preferred) Ability to work independently and as part of a team Initiative, adaptability, and problem-solving ability Comfort working in a dynamic, evolving environment Ability to give and receive feedback constructively Enjoy working with and supporting middle school-aged students Education High school diploma or equivalent required Additional education or relevant experience preferred Confidentiality This position requires handling sensitive student, donor, and organizational information. The Operations Coordinator must exercise discretion, sound judgment, and confidentiality at all times. Additional Requirements Computer Skills Proficiency with Google Workspace and/or Microsoft Office, Facebook, Instagram, Familiarity with LinkedIn, QuickBooks Online, Mailchimp, and CRM systems Ability to learn and manage database systems and communication tools Driver's License Valid driver's license required Clean driving record necessary (must be able to provide driving record to Livingston School District) Background Check Must be able to pass the Livingston School District's background check (includes fingerprinting Essential Physical and Work Requirements Ability to move between office, school, and event environments Ability to lift and carry materials for events (up to approximately 25-50 pounds) Ability to manage multiple responsibilities in a fast-paced environment
