We pride ourselves on precision, quality, and a team-first culture — from the first client conversation to the final installation. The Role We are seeking a part-time Project & Office Coordinator to start at 15-20 hours per week, with a potential path to full-time as the role and the individual grow together. The right person will take ownership of job documentation, scheduling, procurement, and client communication — freeing ownership to focus on sales, Mozaik cabinet design, and project management. This is a ground-floor opportunity to help build the operational foundation of a growing custom cabinetry shop. Familiarity with construction and specifically with the cabinet industry or custom millwork is a strong advantage.
Key Responsibilities Job File & Documentation:
Build and maintain organized Bluebeam files for each project — blueprints, appliance specs, designer notes, finish selections, and room shortcuts. Own the job packet from kickoff through closeout.
Project Flow Management:
Track every active job from contract through final installation. Flag incomplete steps that will hold up progress, keep the job schedule projection current, and follow up with clients, designers, and the shop team to keep things moving.
Material & Hardware Procurement:
Place and track orders for materials and hardware on each job. Maintain and build out the purchasing database for vendors, pricing, and lead times.
Job Cost Tracking & Invoicing:
Monitor costs on each active job, complete end-of-job (EOJ) financial reviews, and handle invoicing and accounts payable/receivable in coordination with ownership.
Change Order & Revision Tracking:
Document client-requested changes and communicate revisions to the design and shop team in a timely manner to avoid delays.
Office Systems & Process Development:
Build and improve office workflows, documentation standards, and job management systems — including AI-assisted tools — to support company growth.
Owner Support:
Help protect ownership's time by handling coordination and administrative tasks — keeping Duane focused on sales, client relationships, and Mozaik design and engineering. Priority areas will be established together based on highest impact.
What We're Looking For Construction Industry Experience:
You must have familiarity with construction, trades, or the custom build environment. Understanding job flow, contractor communication, and project timelines is essential from day one.
Scheduling & Project Tracking:
Proven ability to manage multiple active jobs simultaneously, keep schedules current, and proactively resolve bottlenecks without being asked.
Tech Proficiency:
QuickBooks, Excel, and Microsoft Office are required. Bluebeam and Mozaik (cabinet design software) experience are both strong pluses. Comfortable learning and using AI tools as part of day-to-day work.
Communication:
Clear, professional communicator — equally effective with high-end clients, designers, and shop crews. Knows when to ask, and when to just handle it.
