Description Position Summary Responsible for the coordination of departmental projects. Maintains and updates all personnel related documents for the facilities department. Essential Functions
Works with all vendors to ensure invoices are accurate and processed in a timely manner.
Keeps track of all purchases and vendor contracts related to capital projects.
Enters information into computer to prepare correspondence, statements, receipts, or other documents.
Documents, distributes, tracks, and records all capital project costs.
Maintains purchase orders and vendor files.
Prepares purchase requisitions, purchase change orders, and check requests
Coordinates with other departments for scheduling Facilities department's projects.
Compiles specifications and prices of merchandise and materials for Director's review and approval.
Assists with ordering as required.
Cost tracking for in house labor worked and construction costs.
Schedules vendors for Project Manager and Director of Facilities.
Maintains inventory spreadsheets, tools and equipment.
Taking meeting minutes in project meetings.
Maintains and tracks budget for each project with the management team.
Creates forms as needed.
Maintains facilities employee files.
Other duties as assigned.
Requirements Position Qualifications

Education High School Diploma or GED. Experience Two years related experience in construction trades or a combination of facilities maintenance and construction. Experience in Accounts Payable or basic bookkeeping. Computer Skills Microsoft Office Advanced level including Word, Excel, and Outlook. Microsoft Project Advanced level. Testing will take place during the interview process. Certificates & Licenses Driver's License. Ability to obtain a Siletz Tribal Gaming License. Other Requirements Ability to calculate and track cost savings over time. Blue print and schematic knowledge preferred. Understands and recognizes terminology and language related to construction, maintenance, and the building trades. Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals. Near and Far Work Environment Most work will take place in an office environment. Some tasks will take place in a construction environment. May require occasional work in busy gaming environment with multiple distractions. The noise level in the work environment is usually moderate to loud. The environment is subject to smoke and the associated effects. May be subject to scented air environment, which can affect chemically sensitive individuals. Working Conditions Conditions of employment include passing a pre-employment drug screen, a background investigation, and completing a 180 day introductory period.
