Job Description

Tech 2000 Woodworks is looking for an organized and motivated Project Coordinator to support our Project Management team. The position will initially focus on procurement, material coordination, submittals, and project documentation, while providing exposure to the full commercial millwork project process. As experience develops, the role will take on increasing responsibility in project coordination. Responsibilities Assist Project Managers with commercial millwork projects from award through completion. Review project information to identify material, submittal, and purchasing requirements. Review architectural drawings, specifications, finish schedules, and project documents as needed for coordination. Review shop drawings for completeness, project requirements, finishes, hardware, dimensions, and coordination items prior to submission. Prepare and send shop drawing submittals to General Contractors and customers. Maintain submittal logs and track approvals, revisions, resubmittals, and outstanding items. Review returned shop drawings and architect/GC comments and coordinate required revisions with Engineering/Drafting. Track RFIs, samples, finish selections, approvals, and other required project information. Prepare and transmit RFIs and other project documentation as directed by the Project Manager. Assist with material takeoffs and quantity verification. Request vendor pricing, availability, and lead times. Compare vendor quotations for quantities, pricing, lead times, and project requirements. Prepare and issue purchase orders. Review PO acknowledgments for quantities, pricing, lead times, and delivery dates. Track materials from order through shipment and receipt. Follow up on outstanding orders, backorders, shortages, and long-lead materials. Coordinate with vendors, Receiving, Production, and Project Management regarding material status. Help identify shortages, discrepancies, or material issues before they impact production. Verify that approved finishes, selections, and project requirements are properly coordinated before purchasing and production. Maintain accurate project documentation, correspondence, and status information. Coordinate information between Project Management, Engineering/Drafting, Procurement, Production, Shipping, and Installation. Assist with specialty vendor and subcontractor coordination, including countertops, glass, metal, specialty products, and outsourced fabrication. Help track project schedules, required material dates, production milestones, deliveries, and installation dates. Assist with field-verification documentation and coordination. Participate in internal and project coordination meetings as needed. Assist with delivery and installation planning. Help document scope changes and potential change-order conditions. Assist with punch-list items, closeout documentation, and project completion. Take on increasing project responsibility as knowledge and experience develop. Requirements High School Diploma or GED required. Strong organizational skills and attention to detail. Comfortable working with numbers, quantities, dimensions, pricing, and detailed information. Strong computer skills and ability to learn new software and systems. Familiarity with Microsoft Excel and Outlook. Good written and verbal communication skills. Ability to manage multiple priorities and follow through on open items. Good problem-solving skills and willingness to ask questions when information is unclear. Ability to compare information from different sources and identify discrepancies. Basic familiarity with architectural or construction drawings is preferred, with the ability and willingness to learn shop drawing review and project documentation. Experience with Bluebeam, AutoCAD, construction management software, ERP systems, or similar programs is a plus. Experience in construction, manufacturing, procurement, logistics, cabinetry, or architectural millwork is a plus, but not required. Willingness to learn commercial millwork materials, fabrication processes, construction coordination, and project management. Ideal Candidate We are looking for someone who is organized, dependable, curious, accountable, and willing to learn. This position is a good fit for someone interested in understanding how commercial millwork projects move from drawings and submittals through procurement, production, delivery, and installation. The right candidate does not need extensive millwork experience on day one, but should be comfortable learning technical information, reviewing detailed documents, communicating with vendors and project teams, following up on open items, and taking increasing ownership as they gain experience.
