AppFolio Property Management Accounting Specialist New Leaf Property Management - Claremont, CAPart-Time | 20+ Hours Per Week | In-Office$18-$22/hour, depending on experience Job Description New Leaf Property Management is looking for an experienced AppFolio Property Management Accounting Specialist to join our team in our Claremont office. We are looking for someone with at least 2 years of hands-on AppFolio experience who understands the accounting side of property management and can confidently handle day-to-day bookkeeping, accounts payable, accounts receivable, tenant and owner accounting, HOA accounting, and financial questions. This is an in-office position and requires regular communication with property owners, tenants, HOA board members, vendors, and our property management team. Strong communication skills are just as important as accounting skills. Responsibilities Manage day-to-day accounting and bookkeeping within AppFolio Enter, review, code, and process vendor invoices Manage Accounts Payable (AP) and pay vendor bills Manage Accounts Receivable (AR) and monitor outstanding balances Post and review tenant charges, payments, credits, and adjustments Review tenant ledgers and resolve accounting discrepancies Respond to tenant questions regarding charges, balances, payments, and account history Prepare tenant invoices and statements as needed Review and reconcile property and bank accounts Assist with monthly bank reconciliations Research missing, duplicate, incorrect, or misapplied transactions Prepare and review monthly owner statements Respond to owner questions regarding income, expenses, invoices, repairs, distributions, and property financials Process and track vendor payments Maintain accurate vendor and accounting records Assist with month-end accounting and financial reporting Review general ledgers for accuracy Prepare and review income statements, balance sheets, and other AppFolio financial reports Maintain organized financial documentation and supporting invoices HOA / Community Association Accounting Our company also manages HOA/community association accounts.
Responsibilities may include:
Assist with preparation and management of annual HOA budgets Prepare and review budget-to-actual reports Track homeowner assessments and payments Manage HOA Accounts Receivable and delinquent balances Process HOA invoices and vendor payments Maintain operating and reserve fund accounting Assist with monthly financial statements and HOA board financial packages Answer questions from HOA board members regarding budgets, expenses, invoices, assessments, and financial reports Research budget variances and accounting discrepancies Communication & Customer Service This position regularly communicates directly with owners, tenants, vendors, and HOA board members. You must be comfortable researching and clearly answering questions such as: Why was I charged this amount? Where was my payment applied? Why does my tenant ledger show a balance? Has this vendor invoice been paid? Why was this expense charged to my property? Can you provide a copy of an invoice? Why is my owner distribution different this month? Why is an HOA expense over budget? We are looking for someone who can find the answer in AppFolio, understand the accounting behind it, and professionally explain it to the customer. Required Experience & Qualifications 2+ years of hands-on AppFolio experience
REQUIRED
2+ years of bookkeeping/accounting experience preferred Property management accounting experience strongly preferred Experience with Accounts Payable and Accounts Receivable Understanding of bank reconciliations and general ledger accounting Strong attention to detail and accuracy Excellent verbal and written communication skills Strong organizational and problem-solving abilities Comfortable working with multiple properties, accounts, and deadlines Ability to research and resolve accounting discrepancies independently Professional and courteous when communicating with owners and tenants Must be dependable and able to work independently Bilingual English/Spanish is a plus, but not required Schedule 20+ hours per week Part-time Potential for additional hours based on experience and company needs In-office position in Claremont, California This is not a remote position Compensation $18-$22 per hour, depending on experience Ideal Candidate The ideal candidate already knows AppFolio and can come into the position with a solid understanding of property management accounting.
