Job Summary We are seeking a detail-oriented and proactive Procurement Associate for Divisions 10 and 12 to join our team. In this role, you will support procurement activities related to specialized building materials, ensuring efficient sourcing, vendor management, and contract negotiation. The ideal candidate will possess strong procurement management skills, familiarity with ERP systems, and a comprehensive understanding of supply chain processes to facilitate seamless project execution and operational excellence. Responsibilities Assist with purchasing materials, products, and equipment for Division 10 and Division 12 scopes. Review project plans, specifications, bid documents, and schedules to identify purchasing requirements. Request and compare vendor and manufacturer quotations. Prepare purchase orders and ensure pricing, quantities, lead times, freight, and other terms are accurate. Maintain accurate purchasing logs, vendor information, pricing, and order status. Track purchase orders from initial release through delivery and final completion. Follow up with vendors regarding pricing, submittals, shop drawings, production schedules, shipping, and delivery dates. Coordinate with Project Managers and Estimators to identify procurement needs and potential material delays. Communicate with vendors and manufacturers regarding order changes, backorders, substitutions, damaged materials, and other issues. Assist with obtaining samples, product data, finish selections, and other documentation as required. Review vendor invoices and packing slips for accuracy and coordinate discrepancies with Accounting and Project Management. Help maintain project-specific purchasing documentation and records. Monitor long-lead items and proactively communicate potential schedule impacts. Assist with maintaining preferred vendor and manufacturer relationships. Support the Purchasing Manager and project teams with other procurement-related tasks as needed. Skills 1-3 years of purchasing, procurement, construction administration, or related experience preferred. Commercial construction experience is strongly preferred. Familiarity with Division 10 and/or Division 12 products is a plus. Proficiency with Microsoft Office, particularly Excel and Outlook. Profiecency in Quickbooks Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to manage multiple projects, purchase orders, and deadlines simultaneously. Strong written and verbal communication skills. Ability to negotiate pricing and communicate effectively with vendors. Ability to read and understand construction plans, specifications, and schedules is preferred. Experience with construction management, ERP, purchasing, or accounting software is a plus. Ability to work independently while also collaborating effectively with project teams.
