Job Description

Job Summary The Operations Assistant helps agency leadership keep day-to-day operations running smoothly with tasks that support administrative, clinical, and education programs. Reporting to the Operations Director, this part-time position provides general office support, prepares biweekly payroll for submission to KBFPC's third-party bookkeeper, and coordinates facility maintenance and IT needs with outside vendors.
Essential Functions:
I. General Office Support (~70%) Provide administrative support to the Operations Director, CEO, and administrative team as needed, such as document preparation, data entry, meeting logistics, and staff travel arrangements. Update and maintain internal staff resources, such as contact lists, policy versions, and required employment postings. Maintain organized electronic and paper filing systems in accordance with agency recordkeeping and confidentiality policies. Assist with staff onboarding and offboarding tasks; prepare new-hire packets, set up workspaces, and coordinate account creation with IT vendor. Coordinate shared calendars and meeting schedules, attend meetings and keep detailed notes as assigned. Support staff completion of annual trainings and certifications as directed. Order and track office and other program supplies as appropriate. Other duties assigned in support of agency operations. II. Bi-monthly Payroll Preparation (~15%) Prepare and distribute timesheet templates each pay period and send timely staff reminders. Collect signed timesheets, verify completion and supervisor approval. Compile and submit payroll documentation to bookkeeper by established deadlines; maintain organized payroll records. Maintain strict confidentiality of payroll information, referring staff questions about pay, PTO, and related benefits to the Operations Director or CEO, as appropriate. III. Facility & IT Projects (~15%) Receive and track building maintenance requests; schedule approved repairs, contractors, and staff or volunteer work parties. Process accounts payable for project contractors: collect invoices, verify against contracts and completed work, and submit to CEO for approval and payment. Coordinate routine services like cleaning, lawn maintenance, snow removal, and annual fire extinguisher inspections. Maintain organized project records, including documentation needed for grant-funded projects and reporting. Coordinate agency IT needs with remote IT vendors, communicate scheduled upgrades to staff, and maintain hardware and software inventories.
Recommended Qualifications:
High school diploma or equivalent required; associate or bachelor's degree or equivalent professional experience preferred. At least two years of experience in office administration or operations, payroll or bookkeeping support, or a related role required; experience working in a nonprofit environment preferred. Experience in a healthcare, social services, or other confidential care delivery setting preferred. Experience coordinating facility, construction, or IT projects with outside contractors or vendors preferred. Strong organizational skills and attention to detail, with the ability to meet recurring deadlines while managing ongoing projects required. Proficiency with Microsoft Office 365, Zoom, and Gmail required; comfort learning new software. Demonstrated ability to handle confidential information with discretion required. Alignment with KBFPC's mission and willingness to learn key concepts of sexual and reproductive health related to KBFPC's client-centered, trauma-informed, evidence-based health care and education.
Other Job Requirements:
Valid driver's license and access to a reliable, insured vehicle for occasional work errands. Successful completion of a KBFPC background check. Ability to lift up to 30 lbs comfortably.
