Position Summary The Medical Billing & Dispatch Coordinator is responsible for overseeing the daily operations of the billing and dispatch functions to ensure efficient workflow, accurate billing, and exceptional customer service. This position provides day-to-day oversight of a team of experienced, self-sufficient dispatchers while serving as the primary resource for billing questions, claim issues, and escalated customer concerns. The role requires strong organizational, communication, and problem-solving skills, with the ability to balance administrative responsibilities, team coordination, and operational reporting in a fast-paced healthcare environment. This is a non-exempt position under California law and is eligible for overtime in accordance with applicable federal and state wage and hour regulations. Essential Duties and Responsibilities Medical Billing Prepare, review, and submit accurate medical claims to insurance carriers. Verify patient insurance eligibility, benefits, and authorizations as needed. Investigate, correct, and resolve billing errors, denied claims, payment discrepancies, and account issues. Follow up with insurance companies to obtain timely reimbursement. Process patient payments and maintain accurate billing and account records. Serve as the primary point of contact for patients and clients regarding billing concerns, explaining charges, insurance benefits, payment options, and account balances. Professionally de-escalate difficult customer interactions and resolve complaints or escalate to higher management while maintaining a high level of customer service. Ensure compliance with HIPAA, payer requirements, and company policies. Schedule Coordination Coordinate and oversee the daily activities of a team of experienced, self-directed schedulers. Provide guidance, operational oversight, and support while allowing scheduler staff to perform their duties independently. Monitor workflow, scheduling, and communication to ensure timely and efficient service delivery. Address scheduler operational issues, answer questions, and resolve escalated scheduler concerns. Promote accountability, teamwork, and consistent adherence to company policies, chain of command, and procedures. Monitor performance and identify opportunities for process improvements and operational efficiency. Collaborate with the management team to ensure staffing levels and daily operations meet business needs. Data Analysis & Reporting Analyze operational and billing data to identify trends, workflow bottlenecks, and opportunities for process improvement. Utilize the company's proprietary phone system reporting tools to review call volume, response times, call handling metrics, and dispatcher performance. Generate routine reports and dashboards to assist management in monitoring productivity, service levels, and operational performance. Review call analytics and billing data to identify training opportunities, and improve customer service. Maintain the accuracy and integrity of operational reports and recommend process improvements based on data findings. Administrative Responsibilities Maintain accurate records, reports, and documentation. Communicate effectively and professionally with patients, providers, insurance representatives, and internal staff. Assist with process improvements and other administrative duties as assigned. Support a positive, professional, and collaborative work environment. Qualifications High school diploma or equivalent required; additional healthcare or business education preferred. Bilingual in English and Spanish preferred Previous experience in medical billing, healthcare administration, dispatch coordination, or a related field. Previous experience coordinating or leading administrative or scheduler staff preferred. Working knowledge of medical billing procedures, insurance claims, and reimbursement processes. Experience reviewing operational reports and interpreting performance data. Familiarity with electronic medical records (EMR/EHR), billing software, and call management or phone system reporting tools. Strong customer service, communication, conflict resolution, analytical, and organizational skills. Ability to prioritize multiple responsibilities while maintaining accuracy and attention to detail. Proficiency with Microsoft Office, Google Suite, particularly Excel and Sheets, as well as standard office technology. Physical Requirements Prolonged periods of sitting and working at a computer. Frequent use of a telephone and standard office equipment. Ability to occasionally lift up to 20 pounds. Work Classification This position is classified as Non-Exempt under California and federal wage and hour laws. Employees in this position are eligible for overtime pay in accordance with applicable law.
Pay:
$23.00 - $25.00 per hour
