Job Summary:
Litchfield Hills Orthopedic Associates (LHOA) is seeking a highly organized, detail-oriented Surgical Scheduler to join our growing orthopedic practice. This position plays a critical role in coordinating all aspects of the surgical process, ensuring patients receive exceptional care from the time surgery is recommended through the day of their procedure. The ideal candidate is able to multitask in a fast-paced environment, has excellent communication skills, and enjoys working collaboratively with providers, patients, hospitals, surgery centers, and insurance companies.
Responsibilities:
Coordinate and schedule orthopedic surgical procedures for providers. Obtain and verify all required prior authorizations for surgical procedures. Submit clinical documentation to insurance companies and respond to requests for additional information. Coordinate surgery dates with physicians, surgery centers, hospitals, anesthesia, and vendor representatives. Schedule pre-operative and post-operative appointments. Obtain and track medical clearances, cardiac clearances, and specialty clearances as needed. Ensure all required imaging, laboratory results, and clinical documentation are available prior to surgery. Review insurance benefits and communicate patient financial responsibility when applicable. Communicate surgery instructions and expectations with patients and their families. Answer incoming telephone calls Schedule visits for patients Return patient calls in a timely and professional manner. Work closely with physicians, physician assistants, medical assistants, financial counselors, and the authorization department. Maintain accurate documentation within the electronic medical record (eClinicalWorks). Monitor pending authorizations and follow up with insurance carriers as needed. Reschedule surgical cases when necessary. Maintain surgery schedules and ensure all required documentation is completed prior to surgery. Assist with other administrative duties as assigned.
Skills:
Previous surgical scheduling experience preferred. Prior authorization experience strongly preferred. Orthopedic or surgical specialty experience preferred. Knowledge of medical terminology and
CPT/ICD-10
coding preferred. Experience with electronic medical records (eClinicalWorks preferred). Excellent organizational and time management skills. Strong attention to detail. Ability to prioritize multiple tasks in a fast-paced environment. Exceptional customer service and communication skills. Proficient with Microsoft Office applications.
