Role:
The Operations Coordinator plays a central role in Milestone's supply chain, ensuring that customer orders, inventory, and vendor relationships are managed seamlessly from start to finish. This role manages inventory accuracy, streamlines shipping and receiving, and ensures that instruments, consumables, and parts reach customers on time and in compliance with requirements. You will also contribute to vendor management, production support, and operational reporting that informs company decisions, while serving as a critical link between Sales, Service, and Logistics teams. Success requires a detail-oriented mindset, strong organizational skills, and the ability to thrive in a fast-paced, cross-functional environment.
Responsibilities:
Logistics & Inventory Management Coordinate end-to-end order fulfillment for instruments, consumables, service parts, hazardous materials, and international shipments. Prepare and oversee shipping documentation (BOLs, customs forms, export paperwork) to ensure compliance and smooth delivery. Manage inbound receiving, customer returns, and warranty processes in partnership with Service, Sales, and Warehouse teams. Conduct cycle counts, reconcile inventory discrepancies, and maintain system accuracy in Fishbowl, Salesforce, and related platforms. Monitor supply levels and proactively replenish shipping materials to avoid disruptions. Procurement & Production Support Place and track purchase orders for instruments, parts, and consumables, maintaining strong communication with SRL and key vendors. Coordinate the assembly and packaging of Bill of Materials (BOM) items for stocking and fulfillment. Monitor vendor performance, address procurement delays, and escalate issues to ensure timely availability of materials. Cross-Functional Support & Reporting Act as the operations hub for Sales, Service, and Logistics, providing timely updates on shipping status, tracking information, and parts availability. Own and maintain critical reporting deliverables, including Total Reports, Fulfillment Reports, and Inventory Reports, while ensuring accuracy and accessibility. Track and manage backorders, working proactively to expedite shipments and resolve bottlenecks. Maintain updated shipping schedules and documentation in SharePoint to provide transparency across the organization.
Requirements:
Education & Experience:
2+ years of experience in operations, logistics, or supply chain coordination. Bachelor's degree in Operations, Logistics, Supply Chain, or similar fields a plus. Experience with international shipments or hazardous materials handling is a plus.
Computer Skills:
Familiarity with inventory management and shipping software (e.g., WMS, Salesforce, UPS/FedEx platforms). Proficiency with Microsoft Office Suite (Excel, Outlook, SharePoint).
Communication and Problem-Solving Skills:
Clear and professional verbal and written communication skills. Professional, polished demeanor. Strong ability to maintain accuracy under deadlines and resolve challenges quickly.
