This is an important front-office role for someone who enjoys staying busy, takes pride in getting the details right, and can confidently manage multiple priorities throughout the day. The ideal candidate is a hard worker, self-starter, and excellent communicator who can keep things moving efficiently while providing patients with a warm, professional experience.
•Must be available for half-day interview on Saturday, October 3
•Responsibilities Manage a high volume of incoming calls, scheduling requests, and patient communications Schedule, reschedule, and confirm patient appointments accurately and efficiently Maintain provider schedules and maximize appointment availability Coordinate cancellations, waitlists, and last-minute scheduling needs Communicate professionally and compassionately with patients, providers, and staff Enter and maintain patient information accurately in the electronic health record (EHR) Monitor schedules closely and identify potential scheduling conflicts or issues Follow up on outstanding scheduling needs and ensure tasks are completed promptly Handle sensitive patient information with discretion and maintain confidentiality Assist with general administrative and front-office duties as needed Work effectively in a fast-paced environment where priorities can change quickly What We're Looking For Excellent attention to detail and strong organizational skills A strong work ethic and willingness to take initiative Self-starter who can work independently without constant direction Professional, polished, and friendly communication style Ability to multitask and prioritize in a very busy environment Calm and patient demeanor, particularly when handling a high volume of calls or patient needs Strong computer skills and ability to learn new software quickly Dependable, punctual, and committed to follow-through Ability to maintain professionalism and confidentiality in a mental health setting Previous experience in medical, mental health, healthcare, or high-volume scheduling is strongly preferred The Right Person Will Be You are someone who doesn't wait to be told what needs to be done . You notice details, stay one step ahead, and take ownership of your responsibilities. You are comfortable working at a fast pace, but you don't sacrifice accuracy for speed. Requirements Proven experience in office management or administrative roles with a focus on scheduling or calendar management. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, data entry, and productivity software. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Exceptional phone etiquette skills utilizing multi-line phone systems for professional communication. Bilingual abilities are preferred to support diverse client needs; fluency in additional languages is a plus but not required. Demonstrated clerical experience including filing, proofreading, typing accuracy, and document management. Strong customer service orientation with the ability to handle front desk responsibilities confidently. Technical proficiency in office equipment and familiarity with office management procedures. Ability to work independently while collaborating effectively within a team environment. Pay:
