ABA Clinic Staff Scheduler Kaufman Children's Center (KCC) is an internationally recognized pediatric private practice. The team at our locally owned and operated West Bloomfield clinic is dedicated to improving the quality of life for children with communicative and sensory-motor challenges. We offer speech and language therapy, occupational/sensory-motor therapy, and applied behavior analysis (ABA) autism programs. KCC's team is highly trained and known for providing the highest quality speech, occupational and ABA therapy for children. As part of our growth strategy, we are seeking a dedicated, results-driven individual, preferably with experience in an ABA and/or pediatric health care clinic to join us as we work together to enhance the lives of the young children and families we serve. KCC is currently recruiting for a Staff Scheduler for our ABA Clinic . Position Summary The ABA Clinic Staff Scheduler supports the Applied Behavior Analysis (ABA) Clinic Directors by coordinating, communicating and updating schedules of department personnel. The scheduler is responsible for ensuring the clinic maintains staffing levels appropriate for the daily clinical therapy sessions and documents and communicates scheduling changes in a timely manner. The scheduler also assists by projecting staffing needs and assists with initial onboarding for new hire ABA technicians.

- 12:00 PM Key Responsibilities
- Receive daily absence notifications from ABA techs beginning at 7:00 AM
- Coordinate coverage and confirm changes with clinical directors beginning at 7:30 AM
- Notify ABA techs of schedule changes prior to start of therapy sessions
- Establish and communicate daily work and lunch schedules
- Monitor staffing schedules of ABA techs and ABA therapy sessions
- Monitor staff absences, document changes to staff availability
- Document and record unscheduled absences
- Adjust schedule to provide continuity of coverage for therapy sessions
- Update daily staffing spreadsheet to reflect schedule changes
- Communicate modifications of daily work schedules for ABA techs
- Monitor Paid Time Off (PTO) requests and approval status
- Communicate with ABA techs on changes to schedule/daily assignments
- Monitor attendance and notify directors of trends or concerns
- Periodically serve as onsite receptionist including: answering phones, greeting families, and responding to general questions Skills
- Scheduling experience in a clinical setting
- Efficient user of MS Office and scheduling software
- Excellent interpersonal, written, and verbal communication skills
- Systematic and organized with ability to prioritize and manage time-sensitive tasks
- Work independently, efficiently, and request assistance as needed
- Maintain high level of discretion, confidentiality, diplomacy, and professionalism
- Being flexible and thoughtful when facing challenges and communicating with others Qualifications
- Associate's degree and one to two years of relevant experience preferred
