The organization supports individuals with diverse needs and operates multiple residential and service locations, requiring strong facilities, maintenance, and operational support across its network. Job Description Provide administrative and operational support to the Maintenance Department, assisting with project coordination, service requests, vendor management, and departmental initiatives. Serve as a primary point of contact for maintenance service requests between multiple locations, maintenance staff, contractors, vendors, and service providers. Coordinate and track facility-related projects including flooring replacements, junk removal, waste hauling, and other maintenance initiatives. Communicate schedules, timelines, and project updates to internal stakeholders and external vendors. Monitor and manage maintenance requests through a Computerized Maintenance Management System (CMMS), ensuring timely dispatch and resolution of work orders. Serve as a departmental CMMS super user, providing support, troubleshooting, user guidance, and training as needed. Manage and prioritize activity within the department's shared inbox, ensuring requests are addressed and routed appropriately. Coordinate fleet-related activities including repair requests, approval routing, vehicle deliveries, transfers, purchases, key distribution, and documentation. Assist in maintaining vendor relationships and service contracts including waste management, snow removal, utilities, fleet services, and other maintenance-related agreements. Support accounts payable processes related to maintenance materials, supplies, contractor invoices, and service purchases. Create, maintain, and update spreadsheets, reports, records, and documentation to support maintenance operations and project tracking. Utilize Microsoft Outlook, Teams, Excel, SharePoint, and the CMMS platform to organize information, track activity, and communicate effectively across the organization. Support continuous improvement efforts by helping develop, document, and enhance departmental processes and procedures. Requirements High school diploma or GED required. Minimum of 2-3 years of experience in an administrative, service coordination, project coordination, facilities, maintenance, property management, or operations support role. Proficient with Microsoft Outlook, Excel, Word, and Teams. Experience managing multiple priorities, schedules, projects, or service requests simultaneously. Strong organizational skills with the ability to prioritize tasks, meet deadlines, and maintain accuracy. Excellent written and verbal communication skills with a professional and customer-focused approach. Ability to learn new software and systems quickly. Experience with a Computerized Maintenance Management System (CMMS), work order system, ticketing system, or similar platform preferred. Experience coordinating vendors, contractors, field technicians, or service providers preferred. Experience supporting maintenance, facilities, construction, trades, property management, or service-based organizations preferred. Strong attention to detail and ability to accurately process and track information. Ability to maintain confidential information and exercise sound judgment. Demonstrated initiative, flexibility, problem-solving skills, and willingness to work independently. Experience with SharePoint or similar document management systems is a plus.
