Job Description

Shore Clinical TMS & Wellness Center, part of Beacon Behavioral Health, is seeking a bright, dependable, and highly organized Clinical & Practice Operations Coordinator to help manage the day-to-day operations of our busy outpatient psychiatric practice. This is a unique hybrid position combining practice operations, administrative coordination, technology, patient interaction, and clinical support . We are not necessarily looking for someone with extensive medical-office experience or an advanced clinical degree . We are looking for someone with excellent judgment, strong organizational and computer skills, initiative, and the ability to learn quickly and take ownership. The ideal candidate is someone who sees what needs to be done and follows it through—someone who can become a trusted point person for the practice and help keep the office running smoothly without requiring constant direction. What You'll DoPractice & Administrative Operations
  • Help coordinate the day-to-day operations and workflow of the practice.
  • Monitor provider and treatment schedules and help maintain efficient patient flow.
  • Identify operational problems and take initiative to resolve routine issues.
  • Follow through on administrative tasks, projects, and deadlines.
  • Assist with reports, spreadsheets, patient-volume tracking, and other operational metrics.
  • Coordinate with Beacon Behavioral Health and other support teams when corporate assistance is required.
  • Assist with insurance authorizations and related administrative processes.
  • Help coordinate office supplies, equipment, vendors, and facility needs.
  • Support implementation of new office processes and continuous workflow improvements. Technology & Problem Solving
  • Become highly proficient with our electronic medical record and practice-management systems.
  • Assist staff with routine computer, printer, software, connectivity, and office-technology issues.
  • Learn new software and technology quickly and help other staff use systems effectively.
  • Troubleshoot problems independently when appropriate and coordinate outside support when necessary.
  • Help identify opportunities to use technology to make the practice more efficient. You do not need to be an IT professional. We are looking for someone who is technologically comfortable, resourceful, and willing to figure things out. Clinical & Patient Support
  • Learn the fundamentals of our interventional psychiatry programs, including Transcranial Magnetic Stimulation (TMS) and Spravato® .
  • Receive training to assist with or administer TMS treatments when needed.
  • Assist with patient scheduling, documentation, treatment coordination, and other clinical-support activities.
  • Develop a professional and compassionate rapport with patients.
  • Maintain patient confidentiality and follow HIPAA and practice policies. Team Coordination
  • Serve as a reliable day-to-day resource for staff and help keep the office organized.
  • Help communicate priorities and follow up on assigned responsibilities.
  • Assist with onboarding and training new staff on office procedures and systems.
  • Help identify workflow problems before they become larger issues.
  • Communicate important operational matters to the Medical Director and appropriate Beacon leadership.
  • Be willing to take responsibility for the office when senior leadership is not immediately available.

  • Bachelor's degree preferred , but exceptional candidates with equivalent education and experience will be considered.
  • Background may include business, healthcare administration, computer science/IT, psychology, neuroscience, biology, public health, communications, or another relevant field .
  • Previous healthcare or behavioral-health experience is helpful but not required .
  • Strong computer skills and ability to learn EMR/practice-management software, Microsoft Office, Google Workspace, and other applications.
  • Experience with spreadsheets, reporting, office administration, customer service, project coordination, or technology is a plus.
  • TMS experience is not required; training will be provided .
  • CPR certification can be obtained after hire if needed.
Schedule This is a full-time, on-site position, Monday through Friday . The candidate should have some flexibility to stay later when practice needs require it. Pay:
$45,189.38 - $65,260.33 per year
