Job Description

Rockaway Dental Center is looking for an experienced Scheduling Coordinator to join our newly renovated, modern practice. We value genuine patient care, teamwork, accountability, and people who take initiative. About the Role You'll be a welcoming first point of contact for patients and take ownership of keeping our doctor and hygiene schedules organized, productive, and consistently filled. This role focuses on patient communication, scheduling, appointment follow-through, and recall. You'll work closely with our Treatment Coordinator, who handles treatment presentations, detailed insurance and financial discussions, and payment arrangements. Your Responsibilities Answer incoming calls with warmth and confidence, help new patients feel comfortable, and turn inquiries into scheduled appointments. Build and maintain doctor and hygiene schedules using established appointment lengths, scheduling priorities, and provider availability. Monitor upcoming openings and proactively fill them using ASAP, recall, reactivation, and broken-appointment lists. Manage appointment reminders, follow up with unconfirmed patients, and clearly explain reservation and cancellation policies. Handle cancellations and rescheduling with empathy while actively helping patients keep or promptly rebook their appointments. Follow up with overdue and inactive patients to help them return for care. Confirm that hygiene patients have their next hygiene visit scheduled and follow up when they do not. Help patients complete forms and ensure demographic and insurance information is collected accurately. Coordinate with the verification team so missing information is addressed before appointments. Keep patient communications, outreach results, and scheduling notes current in our practice management software. Participate in morning huddles, flag scheduling concerns, and coordinate with the clinical team for smooth patient flow. Provide welcoming check-in/check-out support and assist with routine front office duties. What Success Looks Like Patients feel welcomed and informed. Openings are addressed promptly. New-patient inquiries receive thoughtful follow-through, and patients stay connected to their ongoing care. We track schedule utilization, new-patient scheduling, hygiene reappointment, and outreach results. We value effective follow-through—making calls should lead to conversations, appointments, and better access to care. Who We're Looking For At least 2 years of dental front office experience , including hands-on scheduling. Clear, confident communication with a warm and empathetic approach. Strong organization and attention to detail, especially when managing multiple provider schedules. Comfort making outbound calls and following up with patients. Initiative to identify gaps, solve problems, and follow tasks through to completion. Familiarity with dental terminology and basic insurance information. Confidence using dental software and learning new systems. A dependable, positive teammate who welcomes feedback and takes ownership of their work. Compensation and Performance Bonus Base compensation is based on experience and qualifications. For the right candidate, a monthly performance-based bonus of $150-$500+ is available, depending on assigned responsibilities and achievement of defined performance metrics.
