Deliver the Ultimate Client Service Experience Position Overview The Client Experience Associate is a highly visible, client-facing role with a strong emphasis on advisor scheduling, prospect follow-up, marketing execution, workshops, events, and firm growth.
A primary responsibility of this position is to help keep advisor calendars full with qualified new prospect appointments while also supporting an exceptional experience for existing clients. This position works closely with our financial advisors, Client Experience team, Marketing team, and Client Service team to ensure advisor calendars are organized, actively managed, and consistently filled with new prospect opportunities. The role is responsible for timely follow-up with leads and prospects, supporting marketing campaigns and events, and helping convert marketing activity into scheduled appointments while maintaining the high service standards of Mirau Capital Management. We prefer a candidate with previous experience in the financial services industry, marketing, scheduling, or a related client-facing role. However, we are willing to train the right person who demonstrates strong communication skills, organization, dependability, and a willingness to learn. This position will be cross-trained with our Client Service team, providing the opportunity to learn additional areas of the financial services business and become a well-rounded member of the firm. A current New Mexico Life & Health Insurance License is preferred at the time of hire. If the selected candidate is not currently licensed, Mirau Capital Management will pay for the required licensing education. Obtaining the New Mexico Life & Health Insurance License within six months of hire is a requirement of the position. The candidate must be able and willing to travel to workshops and events in El Paso, Las Cruces, Albuquerque, Ruidoso, and surrounding areas. Client Experience & Scheduling Responsibilities
Make it a top priority to keep advisor calendars full with new prospect appointments generated from workshops, marketing campaigns, referrals, call lists, and other lead sources
Proactively work open calendar space by contacting and following up with prospects so advisor appointment opportunities are not left unfilled
Track prospect outreach, appointment-setting activity, and follow-up efforts accurately in the firm's CRM and scheduling systems
Serve as a primary point of contact for clients and prospects, delivering a professional, welcoming, and responsive experience
Answer incoming phone calls promptly and route inquiries appropriately
Schedule, confirm, reschedule, and manage advisor appointments and calendars
Maintain accurate and up-to-date advisor calendars and think ahead regarding upcoming appointments, scheduling needs, and advisor priorities
Send appointment reminders and conduct appropriate follow-up communications
Support Annual Review scheduling and ongoing client engagement efforts
Accurately document client and prospect interactions in the firm's CRM and maintain records according to firm procedures
Assist advisors and team members with scheduling and client communication needs
Maintain a client-ready office environment and support day-to-day administrative needs
Assist with preparation of client materials, packets, and hospitality items
Set up and tear down event equipment
Work collaboratively with Client Experience and Client Service team members and provide backup support when needed Marketing, Events & Workshops
Partner closely with marketing efforts to turn workshop attendees, campaign responses, referrals, and other leads into scheduled advisor appointments
Maintain timely and persistent follow-up with new prospects, using firm-approved communication processes, until they are scheduled or appropriately dispositioned
Assist with the coordination and execution of educational workshops, client events, and community initiatives
Travel to Albuquerque, El Paso, Ruidoso, Las Cruces, and surrounding areas to support workshops and firm events
Prepare event materials, response sheets, appointment packets, and other materials as assigned
Assist with event setup and tear down
Conduct confirmation and post-event follow-up communications
Assist with scheduling prospects generated through workshops and marketing events
Accurately document event and prospect activity
Represent Mirau Capital Management professionally at all events Cross-Training & Team Support
Cross-train with the Client Service team to develop a working knowledge of client service and processing functions
Learn firm procedures, workflows, systems, and documentation requirements
Provide backup support to other team members when needed and appropriately trained
Participate in ongoing training and professional development
Work toward obtaining the New Mexico Life & Health Insurance License within six months of hire if not already licensed
Communicate clearly and consistently with advisors and fellow team members
Keep advisors informed of scheduling updates, client communications, and items requiring attention
Participate in team huddles and training
Take ownership of assigned responsibilities and follow through on tasks
Ask questions and seek guidance when additional training or clarification is needed Work Schedule The typical work schedule for this position is Monday through Friday, 8:00 a.
m. to 5:00 p.m. However, this position may require evening, weekend, and travel commitments based on business needs, including workshops, events, and firm initiatives. Schedule variations will be communicated in advance whenever possible. Compensation & Employment Structure This is primarily a full-time, hourly position. Mirau Capital Management may consider a salaried compensation structure depending on the selected candidate's experience, qualifications, licensing, and overall fit for the position. Skills & Qualifications
Previous experience in the financial services or financial advisory industry preferred
Previous experience in marketing, client scheduling, calendar management, or a related role preferred
Experience working directly with clients and providing a high level of customer service preferred
Current New Mexico Life & Health Insurance License preferred at hire; obtaining the license within six months of hire is required
Strong communication skills and professional phone presence
High attention to detail and strong organizational abilities
Ability to manage multiple priorities in a fast-paced environment
Strong follow-through and dependability
Ability to work effectively as part of a team
Comfort working directly with clients and prospects and in event and marketing environments
Willingness and ability to travel as required
Willingness to be cross-trained in Client Service responsibilities

Proficiency with scheduling tools, CRM systems, and Microsoft Office preferred
If not already licensed, ability and commitment to complete company-paid licensing education and obtain a New Mexico Life & Health Insurance License within six months of hire; this is a required condition of the position What Success Looks Like
