Summary The Equipment Buyer and Operations Specialist is responsible for supporting Aries Chemical's equipment sales, service, and project execution activities by coordinating equipment quotes, purchasing equipment for resale and projects, maintaining accurate project cost information, supporting customer purchase orders, and helping organize technical documentation. This position works closely with Sales, Engineering, Technical Services, Purchasing, Operations, vendors, customers, and the equipment group to help ensure equipment opportunities and projects are handled accurately, professionally, and on time. Essential Functions Equipment Quote Support:
Work with Sales, Engineering, Technical Services, vendors, and internal stakeholders to gather current equipment costs, availability, lead times, specifications, and supporting information needed to prepare accurate equipment quotes.
Equipment Purchasing:
Purchase equipment for resale, customer orders, and internal equipment projects in accordance with company procedures, approved pricing, vendor terms, and project requirements.
Customer Purchase Order Coordination:
Manage customer equipment purchase orders from receipt through shipment and invoicing, ensuring order details, pricing, documentation, delivery expectations, and internal requirements are complete and accurate.
Project Proposal Support:
Assist with the preparation of large project proposals by organizing vendor quotations, equipment pricing, project cost information, supporting documentation, and related proposal materials.
Submittals, Manuals, and Technical Documentation:
Help organize, compile, format, and publish technical documents, including customer submittals, equipment manuals, quote packages, project documents, and supporting reference materials.
Vendor Coordination:
Communicate with vendors to obtain quotes, confirm pricing, clarify equipment specifications, track order status, resolve documentation needs, and support timely delivery of purchased equipment.
Customer and Sales Support:
Provide administrative and operational support to help Sales and Technical Services respond to customer equipment needs, service requests, proposal requirements, and order status inquiries.
Project Costing and Records Management:
Maintain organized records of equipment quotes, customer orders, vendor quotations, purchases, project costing worksheets, shipment information, invoicing status, and related documentation.
Cross-Functional Coordination:
Coordinate with Accounting, Customer Service, Warehouse, Logistics, Purchasing, Sales, Engineering, and Operations to support accurate order processing, shipment execution, invoicing, and customer communication.
Issue Identification and Escalation:
Identify missing information, conflicting priorities, vendor delays, pricing discrepancies, documentation gaps, or customer concerns and escalate issues to the appropriate internal leader or stakeholder.
Process Improvement and Standard Work:
Support continuous improvement by helping maintain standard work, quote templates, costing worksheets, vendor records, documentation practices, and equipment order tracking tools.

Way Safety and compliance awareness Reporting Structure This position reports to the Technical Services Manager , or other designated company leader. This role works closely with Sales, Engineering, Technical Services, Purchasing, Accounting, Warehouse, Logistics, Operations, vendors, and customers. Work Environment This role operates primarily in a professional office environment and requires frequent communication with internal teams, vendors, and customers. The position requires regular use of standard business technology, Microsoft Office, email, equipment quote records, project costing worksheets, vendor documentation, and company business systems. Physical Requirements The physical demands are representative of those required to successfully perform the essential functions of the position. This may include frequent sitting, standing, walking, typing, phone use, computer use, reviewing documentation, handling office materials, and occasional interaction with equipment, shipment information, or warehouse-related documentation.

Limited, as needed for training, vendor coordination, customer support, or project-related activities Required Qualifications High school diploma or equivalent required. Prior experience in customer service, purchasing, sales support, equipment coordination, order processing, operations support, or a related business function. Proficiency with Microsoft Office, including Outlook, Excel, and Word. Strong organizational skills and attention to detail. Ability to handle conflicting priorities while maintaining accuracy and follow-through. Strong interpersonal skills and ability to work effectively with customers, vendors, and internal teams. Ability to maintain organized records, documentation, quote files, purchase information, and project costing worksheets. Accountability, Reliability, Integrity, Expertise, and Safety. Preferred Qualifications Associate's or bachelor's degree in business, operations, supply chain, technical studies, or a related field. Experience in a manufacturing, industrial, chemical, water treatment, mechanical equipment, or distribution environment. Experience preparing quotes, purchase orders, vendor RFQs, project documents, submittals, manuals, or customer-facing documentation. Familiarity with equipment purchasing, resale equipment, vendor lead times, freight coordination, shipment tracking, and invoicing support. Experience maintaining project costing worksheets, order trackers, or ERP/MRP system records. Prior experience supporting Sales, Engineering, Technical Services, or field service teams. Working knowledge of water treatment equipment, pumps, tanks, controls, chemical feed systems, filtration systems, or related industrial equipment.
