Key Responsibilities Provides administrative and operational support to office business owners in their multiple businesses. Provides support to the owners, helping them stay organized, complete tasks in a timely manner, and effectively carry out their responsibilities while supporting the needs of the appropriate teams. Prepares reports, presentations, metrics, and correspondence as requested. Responds to customer and vendor inquiries received by phone or email; determines the nature of each request, provides information when appropriate, and directs inquiries to the appropriate team member when needed. Identifies opportunities for process improvements that enhance efficiency, streamline operations, and positively impact the customer experience. Compiles monthly financial statements and updated budget reports. Uses basic IT skills to troubleshoot and resolve everyday office technology issues, escalating more complex problems when necessary. Assists with research projects such as evaluating vendors, comparing product and application pricing, and gathering information to support business decisions. Coordinates facility and utility operations, including managing contracts and service agreements, monitoring the proper function and condition of facilities, equipment, and utilities, and scheduling repairs, inspections, maintenance, and service visits as needed. Performs other duties as assigned. Qualification and Skill Requirements High school diploma or equivalent required. A minimum of one year of prior related office experience is preferred. Organized and adaptable, with the ability to manage changing priorities and workloads. Works well with others, communicates effectively, and uses sound judgment when making decisions. Computer skills including knowledge of relevant software (Word, Excel, PowerPoint, Quick Books) and internet browsing skills. Ability to operate general office equipment. Ability to multitask. Physical Requirements Ability to stand, sit, and move throughout the front office area and the clinic for extended periods of time in order to greet visitors, assist employees, and manage tasks. Ability to work at a computer desk station for extended periods of time. May be required to lift up to a minimum of 25 pounds.
